Inline Group Inc. is looking for a Senior Office Coordinator to support day-to-day office operations and help ensure an efficient, well-maintained, and positive workplace for our team and visitors. This role is ideal for someone who enjoys keeping operations running smoothly, maintaining an organized workspace, and supporting employees behind the scenes. Responsibilities Office Operations & Workplace Support Be the first point of contact for visitors, vendors, and new team members. Ensure reception areas, meeting rooms, kitchen spaces, gym areas, and common spaces are clean, organized, fully stocked, and maintained to Inline standards. Manage office supplies and coordinate maintenance to keep the office safe, functional, and welcoming. Facilities & Vendor Coordination Work with cleaning crews, maintenance contractors, landscapers, snow removal teams, and equipment vendors to support interior and exterior office operations. Manage office keys, monitor maintenance needs, and collaborate with the Director of Technical Services when additional support is required. Event Planning & Employee Engagement Coordinate office events, celebrations, and recognition initiatives (e.g., appreciation events, lunch & learns, long service awards, and annual holiday events). Assist with Inline in the Community initiatives and manage Inline swag for recruitment, clients, and team member appreciation. Employee & Leadership Support Prepare new hire workstations in collaboration with IT to ensure workspaces are ready for day one. Assist with internal communications, prepare new hire announcements, manage name plaques and signage, and provide administrative support to senior leadership with travel arrangements and meeting coordination as needed. Vendor, Program & Subscription Management Manage subscriptions such as PAIR, Great Place to Work, and Waterstone. Oversee mail and courier services, maintain vendor records, and track service schedules and office equipment. Process Improvement & Standards Develop and maintain SOPs for office operations, identify opportunities to improve efficiency and organization, and ensure compliance with safety and building requirements. Support budgeting and tracking of office operations expenses. Qualifications Experienced Professional 7+ years of experience in office coordination, workplace operations, or facilities support; comfortable managing day-to-day office needs independently. Organized & Proactive Highly organized, detail-oriented, and able to anticipate needs and resolve issues before they escalate. Strong Communicator Excellent interpersonal and communication skills with a friendly, professional presence when interacting with employees, visitors, and vendors. Vendor & Operations Savvy Comfortable coordinating vendors, managing service agreements, and handling basic office equipment troubleshooting. Tech Comfortable Proficient with Microsoft Office and comfortable using digital tools, calendars, and communication platforms.
