CDRCP is looking for a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO, Director, and Board, and to help ensure seamless day-to-day operations across the organization. This position is perfect for someone who anticipates needs, stays three steps ahead, and brings calm, structure, and confidence to a busy environment. About the Role As the Executive Assistant, you will play a key role in supporting executive operations, managing office functions, coordinating meetings and events, and keeping organizational processes running efficiently. Youll be trusted with sensitive information, expected to anticipate needs, and relied upon to maintain structure in a dynamic environment. Key Responsibilities Executive & Board Support Manage emails, calendars, and meeting coordination for the CEO and Director. Prepare correspondence, memos, reports, presentations, and spreadsheets. Support Board meetings by preparing agendas, setting up meetings, taking detailed minutes, and tracking follow-up actions. Cascade information clearly, accurately, and in priority order. Office & Operations Coordination Prepare reports, presentations, and spreadsheets by compiling data and formatting information clearly and professionally Oversee daily office operations including equipment, supplies, service calls, and maintenance needs. Liaise with clients, vendors, and internal teams to schedule appointments, relay information, and support smooth business operations. Maintain document management systems such as SharePoint; oversee onsite/offsite storage, archiving, and disposal. Manage building security, fire drills, cleaning, shredding services, and key/alarm code assignments. Ensure compliance with fire codes, AODA requirements, and facility standards. Participate in the Health & Safety Committee. Meetings, Events & Projects Coordinate organizational meetings, conferences, the AGM, and special events (catering, logistics, invitations, room setup). Assist with planning and tracking the space planning project, coordinating communication between team members and external resources. Support special projects that align with organizational goals and timelines. Manage bookings for all CDRCP spaces. Prepare and track invoices, manage inventory, and liaise with vendors and clients. Ensure confidentiality and accuracy when handling sensitive information and financial records. What You Bring Post-secondary education in office administration or related field. 2+ years of administrative experience (experience in non-profit/charitable organizations an asset). Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams . Proficiency in drafting, proofreading, and organizing documents, reports, and presentations Exceptional organizational, time-management, and multitasking abilities. Strong written and verbal communication skills. Ability to work independently, exercise sound judgment, and handle confidential information. Experience coordinating projects or complex initiatives. A proactive mindset with a drive to streamline processes and support team success. Valid Ontario drivers license and access to a reliable vehicle. Ability to work flexible hours, travel within and outside Peel Region, and work remotely when required. Successful completion of a Vulnerable Sector Check. Why Join CDRCP?
