Role Summary The Office Services Coordinator supports the smooth day-to-day logistics of office operations, including mail and couriers, office and kitchen supplies, food ordering, and meeting support, while taking strong ownership of office cleanliness, organization, plant care, and kitchen maintenance. This is a hands-on role suited to someone with a can-do attitude, strong initiative, and a natural tendency to notice what needs to be done without being asked. The successful candidate takes pride in maintaining a clean, welcoming, and well-organized workplace and is eager to lend a helping hand wherever needed. While professional cleaners support the office, day-to-day standards and upkeep are owned by this role. Key Responsibilities Office Operations & Logistics Manage incoming and outgoing mail and courier services. Coordinate deliveries, pickups, and shipping supplies. Order and restock office, kitchen, and hospitality supplies. Support smooth daily office operations and logistics. Maintain a consistently clean, organized, and professional office environment. Proactively tidy shared spaces, address clutter, and identify maintenance issues. Liaise with building management, cleaners, and vendors as needed. Ensure meeting rooms, kitchens, and common areas are presentable at all times. Take responsibility for weekly watering and general care of office plants. Run, unload, and properly stack the dishwasher daily. Maintain clean countertops, sinks, fridges, cupboards, and appliances. Monitor and replenish kitchen supplies (coffee, tea, milk, paper products, etc.). Support catering deliveries and hospitality needs. Meetings & Event Support Support meetings, training sessions, and small events by: Ordering food and beverages Setting up meeting spaces Cleaning up and resetting rooms afterward Administrative & General Support Assist with basic administrative tasks as needed. Maintain accurate records and shared-drive documentation. Provide flexible support across teams when additional help is required. Skills & Qualifications Completion of high school or post-secondary education, or equivalent related work experience Proficiency with Microsoft Office, particularly: Microsoft Outlook (email and calendar) Microsoft Word Basic Excel familiarity is a strong asset. Professional written and verbal communication skills with a customer service mindset. Ability to work independently, take initiative, and manage routine tasks reliably.
