Applications received after this deadline will not be accepted. The Municipality of Chatham-Kent has an opening for a permanent part-time Court Assistant in the Provincial Offences Court division. Job description The Court Assistant performs the general court administration responsibilities for the Ontario Court of Justice Provincial Offences Court in Chatham-Kent, including providing customer service, processing payments, input charging documents into the Integrated Court Offence Network (ICON) and Court Administration Management System (CAMS, updating court records, court clerk monitor functions, setting trials, collections administration and Clerk of the Court Functions. Essential responsibilities General General office duties General court administration duties in accordance with the Provincial Offences Act Cashier function Provide customer service Data entry of charging documents, into ICON and CAMS Prepare, process and update court documents in ICON and CAMS Prepare and process fail to respond dockets Monitor CKPOC mailbox for inquiries and online court filings and process accordingly Receive and process court filings from tickets and fines online Clerk of the court functions Court Monitoring/Reporter Provide clerical assistance to the judiciary Prepare and maintain the courtroom for proceedings Arraign defendants and take pleas to their charges, administer oaths Collate court dockets and related court files in preparation for court Update dockets, file court documents post court Operate electronic audio monitoring equipment to record proceedings while court is in session Operate Zoom for remote proceedings Prepare or coordinate the preparation of transcripts Trial Coordination Procure Interpreters Coordinate the scheduling of trials, early resolution meetings, motions, special trials Prepare and mail notices to defendants, representatives, prosecution, and enforcement agencies Maintain the court calendar Obtain enforcement officers'' schedules for purposes of scheduling trials Prepare court documents including warrants, summons, Collections Administration Receive, verify and process daily payments report from the Agency Receive and reconcile monthly invoices from the Agency Receive and upload the monthly defaulted fines download from MAG Send default files to agency monthly Receive and coordinate the updates of CAMS Reconcile differences between CAMS and ICON Retract files from agency when required Financial Reconciliations Receive and review daily report from Paytickets and process accordingly Independently request and process refunds Prepare weekly deposit Monthly reconcile bank deposit with ICON Bank, and month-end RICO Reports Identify and reconcile when month-end is out of balance Clerk of the Court Duties Independently review and assess reopening applications, extensions of time to pay applications and either approve or forward to a Justice of the Peace Independently review the Fail to Respond Docket and each certificate and register a conviction or quash Independently review the certificates of matters on the Early Resolution Docket for defendants who did not attend and register a conviction or quash Act as a Commissioner of Oaths when required Essential qualifications College certificate or diploma (preferably in a legal or office administration program), with four to six years of related experience; or an equivalent of related education and experience Experience working in an environment governed by legislation and legislative rules and regulations Knowledge of the Provincial Offences Act and associated statutes and rules Excellent interpersonal skills and ability to interact with judiciary, lawyers, paralegals and defendants Working knowledge of Integrated Court Offences Network (ICON) considered an asset Proven data entry skills Working knowledge of Case Administration Management System (CAMS) considered an asset Proven ability to adapt to, learn and use changing software applications Strong computer skills, specifically Microsoft Office (Word, Excel, PowerPoint, Outlook) (or other similar software program) All employees will be required to complete their Health & Safety and other on-line mandatory training on or before their first day of employment; other training (including Health & Safety policies) may also be required Other qualifications Previous office administration/clerical experience an asset Work environment/hours of work This position works indoors This position works weekday hours Background check requirements Successful candidates will be required to complete a background check prior to commencement of employment. A background check may include the following: Police Criminal Record Check, education/certification verification, and employment reference check. Essential physical and/or safety requirements Walking: frequent walking on level surface (depending upon the assigned task, the amount of walking will vary but may involve walking from your desk location to the front counter; to the copy machine, to the vault.
