Welcome to CIMA+ Job Description This position is temporary, for a 12month contract. The Marketing Coordinator Events & Social Media is responsible for supporting the planning, coordination, and execution of events across Ontario and Corporate operations. This role combines marketing support, administrative coordination, onsite event management and other special projects as assigned. The Coordinator ensures brand consistency, supports internal teams, manages logistics, and contributes to CIMA+''s overall visibility and engagement through both in-person events and digital platforms. Key Responsibilities Marketing & Communications Develop, update, and maintain event-related marketing materials. Prepare talking points, speaker notes, and presentation content as required. Write and publish digital content, including blog posts and social media updates. Ensure branding standards and templates are applied consistently Coordinate print-ready materials and liaise with internal/external printers. Event Logistics & Coordination Manage event registrations, attendee lists, and dietary requirements. Coordinate booth reservations, AV needs, catering, parking, and facility access. Ensure compliance with insurance, fire safety, and venue regulations. Process payments, invoices, sponsorship fees, and swag orders. Track event budgets, expenses, and documentation. Onsite Event Support Serve as primary onsite contact during events. Assist with booth setup, teardown, rentals, and troubleshooting. Coordinate staff schedules and provide guidance during event activities. Ensure brand visibility and compliance throughout the event. Sponsorship Coordination Act as a point of contact for all Ontario sponsorship-related activities. Coordinate logos, ads, acknowledgments, and sponsor deliverables. Support speaking engagements, introductions, and event participation. Maintain updated directories and marketing assets tied to sponsorships. Reporting & Administrative Support Maintain the Master Events Tracker and key planning documents. Prepare monthly and yearly summaries of regional activities. Update bios, headshots, designations, and templates. Organize post-event debriefs, feedback collection, and lessons learned. Qualifications Diploma or degree in Marketing, Communications, Event Management, or a related field (or equivalent experience). Requires a minimum of 4+ years of proven, on-the-ground experience in event management/coordination and marketing support, with demonstrated experience attending and supporting high-profile events and trade shows. Proven experience with social media platforms and content creation, adhering to established corporate branding standards and governance, with a clear focus on organizational representation Travel to event locations across Ontario and, on occasion, to other provinces may be required. Ability to support onsite setup, coordination, and teardown: given the nature of the position, the person may be required to lift and handle materials, including during the setup of event booth. Skills & Competencies Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Ability to work collaboratively across multiple departments. Comfortable working onsite at events, including occasional evenings or weekends. Comfortable working with Microsoft Office, Microsoft Dynamics, PowerPoint, Adobe tools, and digital platforms like QR codes, online forms etc. Vendor management experience is an asset.
