The MDS (Capital) Coordinator plays a critical role in keeping Tribe''s Medical Device Services (MDS) Department running efficiently at our warehouse in Toronto, ON. Supporting teams across Ontario, you ensure that the right equipment reaches the right place at the right time, helping our Field Staff deliver successful, well-equipped, high-impact surgical cases without delay. As a key point of contact for schedules, shipments, repairs, and replacements you help prevent disruptions, resolve conflicts, and keep operations running smoothly. By managing timelines, coordinating resources, and supporting billing and returns, you directly contribute to on-time delivery and an exceptional experience for both our clients and our teams. This role upholds Tribe''s mission to ''Put Patient Outcomes First In Everything We Do,'' by ensuring medical equipment is available where and when it''s needed to support successful surgical outcomes. Important Facts Role is based in Toronto, ON with in-office working environment. Preference will be provided to those local to the area. Estimated start date: March 2026 or when successful candidate is found. This is a new fulltime, permanent position. The salary range for this role is: $55,000 $65,000 CAD This role will be overseen by the Director of Operations and work day-to-day with the Manager, MDS. Under the supervision of the Manager, the incumbent performs a variety of advanced tasks associated with the Medical Device Services Team. Day-to-day responsibilities: Billings, Bookings, and Kit/Replacement Management Process MDS billings accurately and on schedule following booking and shipment of inventory/sets to support departmental and company success. Record any damages upon return. Review schedules regularly to confirm delivery details and accommodate additional bookings as needed. Serve as a point of contact for Field Staff regarding general inquiries such as booking availability, shipment tracking, kit concerns, and complaints. Prepare all kits with a visual or printed guide detailing each component and items for easy reference. Routinely log all daily kit-related tasks in the system (i.e. checking kits, replenishing inventory, etc.) as needed for upcoming cases, prioritizing urgent cases. Contact distributor (Arthrex) when a rep reports a broken item and initiate the replacement process. Receive purchase orders from hospitals or reps and create corresponding POs in SAP. Track complaints and replacement requests in Asana to ensure follow-up and resolution. Gather serial numbers from BP for replacement parts. Remove broken items from RedSpot, ensuring correct storage and labeling. Invoice trade-out amounts to customers to complete the replacement process. Other duties as assigned. Kit Check and Review Take inventory of all missing parts in loaner kits, check that all parts are in good condition based on industry standards, and report discrepancies to appropriate staff as directed. Coordinate logistics of making equipment available directly from vendor when internal stock is not available for Loaner Kits. Maintain control over the inventory present in Loaner Kits, as well as all other instrumentation/equipment inventory present in the Department. Investigate and reconcile in ERP system any inventory discrepancies as they relate to inventory found in loaner kits. Monitor and take appropriate action on expired and short-dated inventory in loaner kits as directed by management monthly. Check incoming kits, replenish any missing inventory, and upgrade/rebuild sets as needed to ensure kit is complete and ready to use. Create and maintain comprehensive listings of all loaner kits. Support in any special initiatives (i.e. Inventory Audit) for departmental improvement in collaboration with the Manager. Ensure that loaner warehouse space is kept clean and organized. Other duties as assigned. Logistics (LTL Set up) Receive, update and process less-than-truckload (LTL) or same-day shipment information from Field Staff or Customer Accounts. Request and analyze quotes from LTL carriers and provide recommendations to Manager for approval. Create and process purchase orders in SAP for approved quotes, prepare bill of lading (BoLs) and track them in system. Share shipment details with Field Staff and Customer Accounts to ensure completion. Coordinate upcoming deliveries with Capital and Skytron teams to ensure accurate and on-time shipments. Other duties as assigned. Shipping Operate the entire shipment lifecycle: creating shipping and return labels in Purolator, prepare shipments and totes ahead of delivery pick up schedule to ensure on time delivery, assist with tracking shipments as required and assist in loading and unloading shipments upon arrival. Other duties as assigned. Receiving and Returns of Capital Create return authorizations (RA) for capital equipment returned from the Field. Verify accuracy of serial numbers in RedSpot. Follow up on incomplete returns and shipments to ensure timely resolution. Invoice customers for freight charges when applicable. Test received Capital items and return them to the warehouse. Contact Field Staff if a Capital item is returned by mistake. Other duties as assigned. Capital & Centrifuge Agreements Management Obtain POs from Field Staff and initiate new Capital Agreements through our system. Execute agreements via Docusign and ensure Capital Agreements are an option for replacement of broken items. Collect contact information and POs from Field Staff and initiate new centrifuge agreements. Execute agreements via Docusign and order Angel agreements through RedSpot. Add new Angel centrifuges to RedSpot and assign them to the correct locations. Serve as the primary contact for centrifuge agreement-related questions and issues. Other duties as assigned. Working Conditions: Mental Effort Mental and visual concentration required to prepare and ship customer orders. Attention to detail is crucial in this position as it entails the logistical coordination of surgical instruments. Listening and mental attentiveness in dealing with customer or public queries and manager''s requirements. Mental effort required in multi-tasking and handling interruptions that require constant refocusing. Ability to work well in a team-oriented environment, to solve problems that may arise and conflicting situations. Physical Effort Capacity to be on feet for 6-8 hours per day. Lifts and shelves loaner kits and equipment (up to 80 lbs.) daily. Working Conditions Works in warehouse space with minimal privacy. Working regularly with small parts and sharp instruments. Works within tight deadlines Type of Supervision Received Reports to the MDS Manager. Works under general instructions to prioritize and complete assigned tasks pertaining to the customer. MDS Manager will follow up on deadlines. Candidate Profile: Post-secondary diploma or degree is required. 2 years experience in warehouse or logistics in medical device or healthcare is preferred and considered an asset. Valid Driver''s licence and access to reliable vehicle. Working knowledge of Microsoft Office products, such as Outlook, Powerpoint, Excel and Word. Previous experience working with shipping/receiving systems is preferred and considered an asset. Comfortable working in an in-office environment. Strong ability to analyze complex challenges and make the best decision on behalf of Tribe. Excellent communication and interpersonal skills, with the ability to interact effectively with internal and external teams, clients and stakeholders.
