Description As an Executive Assistant, you will work in a fast-paced environment, interacting directly with executives from both inside and outside of the organization, as well as with different levels of Government. Reporting to the Vice President of Sawmills, the Executive Assistant will play a vital role in support of the operations team. In this position you can expect to work alongside the VP and other team members, taking meeting notes, arranging calendars and events, creating reports, and assisting with fostering productive working relationships across the organization. As the ideal candidate, you pride yourself on delivering top quality administrative support while remaining flexible, resourceful, and customer focused. You demonstrate precision in managing day-to-day tasks, yet you also possess the agility required to respond to the changing needs of the business and senior executives. Responsibilities Provide administration support, manage calendar, and expense reporting for executive leaders with the Sawmill division Prepare and/or proof correspondence, presentations and documents including government and official documents Coordinate travel, meetings, and official events both inside and outside the company Provide support with document management including technology such as SharePoint and Microsoft Office Teams Assist with the day-to-day administration of the office Record and document management Liaise and interact with other departments and divisions as necessary Administrative and communication project management Other duties and functions as required Qualifications Bilingual (French & English) considered an asset Proven experience as an executive administrative assistant Completion of post-secondary education looking to grow their career Ability to take initiative and problem solve Willing to regularly learn new programs and processes, and adapt quickly in a dynamic environment Strong attention to detail and accuracy Proficiency with the Microsoft Office suite Excellent verbal and written communications skills with a consistent pro-active and energetic approach Ability to appropriately multitask and prioritize in a fast-paced environment Proven team player and collaborator Ability to work with confidential information Ability to work independently and with minimal direction
