Placement within the range is typically based upon a review of skills, experience, and internal equity. In the role of Administrative Assistant for the School of Health and Public Safety (HPS), you would support students, leaders, team members, and external partners. If you love data accuracy, process improvement, and studentcentered service, this role is for you. How you''ll contribute Administrative Support Work as part of a collaborative team to provide high level administrative support to the School of Health and Public safety Create reports, conduct data analysis and maintain organized and accurate student, program and staff records Data entry into SAIT and department information technology systems; Microsoft Suite/DCU/BANNER/SMARTSHEET Provide administrative support to the Academic Chairs and department (ex: booking meetings, minute taking, document management) Assist in onboarding new staff and faculty; submitting IT requests, ordering supplies, training on procedures and other support tasks as assigned Selection and Student/Applicant Management Manage information and the data entry required for program selection, to ensure timely, service-focused selection of applicants into the SAIT programs Verify data integrity between various SAIT systems such as Slate, Banner and other tracking documents;identifying and responding to inconsistencies Attend online and in-person information sessions, open house and other events, to inform potential applicants of the selection process and program requirements Internal/External Frontline Support Provide timely, service-focused communication with applicants, students, staff and partners through email, phone and face to face interactions Address prospective and current student inquiries; manage department and team email addresses Provide applicant and student referrals to external and internal service providers (ex: SAIT''s Office of the Registrar, International Centre and other student services) Meetings and Event Planning Aid in the planning and implementation of program and department events and activities Set-up meetings with external/internal stakeholders such as accreditation, advisory, team and program meetings Capture and circulate accurate meeting minutes aligned to SAIT accreditation and advisory processes Book rooms for program, team, and instructor requests; coordinate gathering supplies, food and other logistical requirements What you bring Minimum of three (3) years experience in an administrative role Frontline customer service experience is required A diploma or Certificate in Administration, Business, or related field is required Must possess advanced level certification in Microsoft Excel Preference given to applicants with work experience in a post-secondary institution We thank all applicants for their interest in joining our team We know being ghosted is the worst, so be assured you''ll hear from us either way.
