RVYC is currently seeking an organized, detail-oriented professional to join our team as an Event Sales Coordinator. Summary: The Event Sales Coordinator is responsible for securing as much business as possible and ensuring that all our rooms are booked. They are dedicated to pleasing members and their guests, working in cooperation with our team to ensure the success of their event and for their future business. Main job responsibilities: 1. Work with members: Manage daily internet, email and phone enquiries. Responsible to book all our private rooms and coordinate all our business. Meet and assist members in planning their events. Conduct regular site visits for prospective business. Qualify the business to ensure the business is placed in the appropriate rooms in our club. Upsell food and beverage when appropriate. Suggest what would work best for their event. Ensure deposits have been received to secure the business. Email appropriate banquet menus to encourage food & beverage sales. Email a copy of the work order to members and guests prior to their functions to ensure everything is perfect and to receive confirmation that they agree to what has been coordinated. Draw up floor plans for members and their guests. (shared with Banquet Manager) Conduct site inspections for potential business and book appointments to coordinate guaranteed business with the host. 2. Work with the F&B team: Communicate regularly with the Banquet Manager on new business, cancelled business To ensure that appropriate staff are scheduled. Meet weekly deadlines with the Food & Beverage business. Assist with preparing the monthly banquet revenue report for our General Manager, Food & Beverage Manager, and Controller. Circulate daily and weekly business to the Executive Chef. Circulate updated liquor orders to prepare for upcoming business. Place weekly liquor orders with our club sommelier - Attend Manager meeting, Catering Meeting and Food and Beverage meeting weekly Email copies of the members'' and guests'' bills to facilitate the quicker collection of the outstanding invoice. Prepare weekly summaries of the following week''s business on the books. Circulate copies of the weekly summaries of business to the Food & Beverage Manager Submit the following week''s business BEO''s to chef by the end of Tuesday Communicate on a regular basis with the Food & Beverage Manager. 3. Work with other teams: Provide a daily list of business to the front desk for our electronic reader board in the lobby. Review all banquet bills before submitting them to accounting. Transfer monthly business from Outlook to our reservation books. Assist accounting in chasing any outstanding banquet invoices. Responsible for submitting the month-end banquet revenue report to the GM, Food and Beverage Manager and Controller. Communicate regularly with the Executive Chef and kitchen when necessary To share in our successes by circulating feedback from our members on a job well done. Should any problems arise, they should be directed immediately to the appropriate managers. Requirements: High School Diploma required; post-secondary education in hospitality or hotel management preferred, or an appropriate combination of education and experience. Minimum of 2 years'' experience in sales and catering. Experience with the Jonas system is an asset. Serving It Right certification required. Strong understanding of the sales cycle, customer relationship management, and service recovery. Proven ability to meet or exceed sales goals and performance targets in a hospitality or events environment. Ability to surpass internal and external customer expectations through timely, effective, and service-oriented communication. Computer literacy in MS Office is required.
