Position Overview The Client Care Advisor is the first point of contact for Ikaria Medical Aesthetics and plays a key role in creating an exceptional, welcoming experience for every client. This role blends front-desk administration, client relationship management, and sales support within a fast-paced medical aesthetics and wellness clinic. The ideal candidate is warm, polished, detail-oriented, and thrives in a client-focused environment where professionalism, discretion, and exceptional service are essential. Key Responsibilities Client Experience & Front Desk Greet clients warmly and professionally in person, by phone, and via email/text Manage appointment scheduling, confirmations, cancellations, and waitlists Ensure a seamless client flow and elevated in-clinic experience Handle client inquiries regarding services, pricing, memberships, and pre/post-care instructions Administrative & Clinic Support Process payments, memberships, gift cards, and retail product sales Maintain accurate client records and documentation within the EMR system (Jane and Telus Input Health) Support daily clinic operations including opening/closing duties Coordinate with providers to ensure schedules run efficiently Maintain a clean, organized, and professional reception and retail space Sales & Client Retention Educate clients on available treatments, skincare products, and wellness offerings Confidently recommend memberships, packages, and retail products aligned with client goals Support promotions, campaigns, and client follow-up communications Build strong, long-term client relationships that reflect Ikaria''s brand values Professionalism & Compliance Maintain strict confidentiality and professionalism at all times Adhere to clinic policies, safety protocols, and regulatory standards Represent Ikaria''s brand with integrity, discretion, and positivity Qualifications & Experience Required Previous experience in reception, client service, hospitality, or customer-facing roles Strong communication skills (written, verbal, and interpersonal) Exceptional organizational skills and attention to detail Ability to multitask and remain calm in a fast-paced environment Professional appearance and polished demeanor Comfortable using scheduling software, POS systems, and computer programs Preferred Experience in medical aesthetics, cosmetic clinics, healthcare, wellness, or luxury retail Sales or upselling experience in a service-based environment Familiarity with EMR systems and medical booking software Social media or marketing support experience is an asset Ideal Candidate Traits Naturally warm, personable, and client-focused Discreet, trustworthy, and emotionally intelligent Confident yet compassionate communicator Detail-oriented with strong follow-through Passionate about aesthetics, wellness, and self-care Team-oriented with a positive, solutions-focused attitude What We Offer A supportive, collaborative clinic environment Opportunities to grow within a modern medical aesthetics practice Staff perks and treatment/product discounts Competitive compensation (based on experience) Job Type: Part-time Pay: $23.00-$27.00 per hour Expected hours: 16 24 per week Work Location: In person
