Our team is currently seeking a highly organized and detailoriented Administrative Assistant to support healthcare operations in a fastpaced, regulated environment. Position Summary This role requires the ability to manage multiple competing priorities, supporting our clinical, administrative, and field teams utilizing healthcarespecific systems and technologies to ensure efficient, compliant operations. The ideal candidate is adaptable, technically proficient, and experienced working within healthcare settings where accuracy, confidentiality, and responsiveness are critical. Schedule: Days Monday through Friday Location: In-Office (1211 Barton St East Unit 4, Hamilton Ontario) Key Responsibilities Administrative & Clinical Support Provide daytoday administrative support to multi-disciplinary teams Manage calendars, appointments, meetings, and room scheduling for providers and leadership Prepare, edit, and distribute reports, correspondence, and documentation related to patient care and operations Priority & Workflow Management Effectively manage multiple priorities, deadlines, and interruptions common in healthcare environments Anticipate operational needs and adjust schedules and tasks based on changing daily demands Track action items, followups, and deliverables to ensure timely completion Technical & Systems Responsibilities Navigate and maintain records with in-house software Generate reports and extract data from clinical or administrative systems as required Utilize Microsoft Office and collaboration platforms to support documentation, data tracking, and communication Assist with system updates, template maintenance, and process documentation Compliance, Confidentiality & Quality Handle patient and employee information in compliance with organizational policies Maintain accurate records and documentation to support audits and regulatory requirements Support quality improvement initiatives and process standardization Ensure professionalism and discretion in all interactions Operational & Team Support Coordinate logistics for meetings, training sessions, and departmental initiatives Monitor supplies, service requests, and vendor communications as assigned Support special projects and events related to patient experience, workflow improvement, or operational efficiency Why Join Us? Qualifications: Required Qualifications 2+ years of experience in an administrative or office support role, preferably in healthcare Knowledge of healthcare compliance standards and documentation practices an asset Demonstrated ability to manage multiple priorities in a highvolume, regulated environment Strong technical skills with: Teams Microsoft Outlook, Word, Excel, and Excelbased tracking Excellent organizational, timemanagement, and attentiontodetail skills Strong written and verbal communication skills Understanding of patient confidentiality and privacy requirements Bayshore is committed to a high quality and safe environment for both our staff and clients/patients.
