Responsibility and Duties: Reception Duties Providing excellent customer service and administrative support. Professionally answers and distributes incoming phone calls. Professionally greets visiting guest and notifies appropriate staff. Email and Mail out A/R Statements and mail out checks in a timely manner. Accounting technician responsibilities Accounts/Receivable responsibilities: Customer order entry for Fire and Intercom Orders Verify order entry for accuracy Communication with Sales Reps, Production Manager Accounts Payable responsibilities: Monitor supplies including process returns/chargebacks, invoicing for coding and entry into Visual software, check run and overseeing the A/P emails. Prepare batches of invoices for data entry and get approval by Controller. Process A/P, review invoices addressing any discrepancies, account reconciliation. Assist with Accounts Receivable order entry, Shipping, and Account Reconciliation. Responsible for month-end balancing of reports and maintain all documentation and data entry. Assist with other duties as needed in the accounting department. Verify that transactions agree to the purchase order and comply with operational processes. Prepare manual cheques as and when required. Maintain listing of Accounts Payable. Maintain vendor and customer files. Correspond with vendors and customers and respond to inquiries. Monthly Salary timesheet entry and daily Production timesheet entry. Inventory and fixed assets updating when needed. Any Task required by management.
