What the role is As the Events & Engagement Manager, youll play a central role in building IBAOs new inhouse Events & Engagement team. Reporting to the Director, Events & Engagement, youll lead the operational planning, coordination and delivery of major projects across our event portfolio from flagship industry conferences to member programs and consumerfacing initiatives. Youll support technology integrations, streamline crossdepartmental collaboration, and ensure every event meets IBAOs high standards for quality, accessibility and member experience. While youll contribute to strategic planning, your core focus will be operational excellence, continuous improvement and delivering exceptional experiences for the Ontario Broker Community. Compensation: Base salary with bonus incentive What you''''ll do Event Operations & Execution 40% Lead project coordination for all event builds, including timelines, milestones, task assignments and crossdepartmental dependencies Manage endtoend logistics to ensure all operational components align with project plans and deadlines Oversee registration systems, attendee data flows and onsite processes with a projectmanagement mindset Ensure all events meet quality standards, accessibility expectations and brand guidelines Support project management for Swapcard builds, including content architecture, user flows, testing and launch timelines Coordinate with internal teams on iMIS integration, data mapping, automation workflows and system testing Assist in evaluating, implementing and optimizing event technology platforms and internal tools Document processes, SOPs and system configurations to support scalability and repeatability Event Communications & Marketing Support 20% Develop and manage communication timelines aligned with project plans and marketing campaigns Coordinate crossfunctional deliverables with the Marketing & Communications team Maintain event pages, FAQs and digital content with structured version control Vendor, Partner & Stakeholder Coordination 10% Support communication and coordination with vendors, partners and external stakeholders Ensure deliverables and timelines are aligned across all parties Strategic & Departmental Support 5% Support crossdepartmental collaboration with Marketing, Membership, Operations and Finance Contribute to departmental planning and process development Maintain consistent documentation and content updates across event assets Track budgets, invoices and financial documentation using structured projecttracking methods Support reconciliation and reporting processes What we''''re looking for Education & Experience College diploma or university degree in Event Management or a related field 35 years of experience managing events Core Skillset Strong project management and organizational skills, with the ability to manage multiple concurrent initiatives Ability to translate strategic direction into actionable project plans Skilled at identifying risks, dependencies and process gaps and proposing solutions Excellent communication skills for coordinating crossfunctional teams and external partners Strong vendor management, negotiation and logistical planning abilities High attention to detail and commitment to quality Collaborative mindset with the ability to adapt to evolving departmental needs Technical Capabilities Experience with project management tools and methodologies (e.g., Asana, Monday.com, Smartsheet) Ability to manage complex builds and integrations across systems (e.g., Swapcard, iMIS, CRM platforms) Strong processmapping, documentation and workflowdevelopment skills Comfortable with onsite technology (registration systems, scanners, AV coordination) Knowledge Areas Project management High Technology & systems integration High Event operations & logistics High Sponsorship support Medium Certifications CMP or equivalent designation preferred but not require This is more than an events role its an opportunity to help define the future of how IBAO connects, engages and inspires.
