Branch: Corporate Support Service: Asset & Material Management Bureau: Capital Projects & Facilities Salary: $110,538.00 - $116,461.00 per annum Status: Permanent, Openings: 1 Vacancy Type: This job has been posted to fill a current vacancy Position Purpose The purpose of the position is to plan, coordinate, implement and oversee space planning projects, furniture configurations and moves related to new construction, renovation, change in operational model, staffing, ergonomic requirements and pandemic planning organizational wide. This role requires a proactive and reactive response to space planning while meeting customer needs, being budget aware and fiscally responsible while meeting all health and safety legislation. Major Duties & Responsibilities Provide strategic planning for moves, adds and/or changes and deliver budgetary forecasting for user requirements. Prioritize projects within the allotted annual furniture budget, source the most cost effective solutions while meeting the project requirements and maintaining the overall budget. Act as the point of contact for all matters pertaining to space/occupancy planning requirements and office assignments including demand planning. Coordinate with Capital Projects & Facilities Bureau and Purchasing staff to ensure Vendors/Contractors schedules and contract obligations are adhered to and client requirements are achieved. Participate as an active member in the application review and interview processes when awarding a new contract. Coordinate and facilitate delivery of project objects ensuring accurate tracking of tasks, allocation of resources, obtaining supporting paperwork and approvals and responding to requests for service and assistance. Manage the organizational furniture portfolio. Identify and research new and existing furniture solutions and develop standard operating procedures for all furniture activity. Coordinate the procurement, disposition, storage, inventory of furniture systems and related furniture accessories. Responsible for responding to, prioritizing, maintaining, assigning, tracking and resolving work orders through a computerized service desk system. Coordinates work requests with other members of CP&F. Research specifications required for development of Request for Proposals or Tender Documents along with the subject matter expert and the Purchasing unit. Receives and responds to client complaints and concerns. Provides a resolution and/or informs CommandersManagers of potential problems as required. Ensures all Facility related work carried out as per contract and within in all safety and legislative requirements. Responsible for supervising contractors during furniture installations to ensure security is maintained at all police facilities and the scope of work is completed as mandated. Responsible for coordination of scheduling small and large projects for all YRP buildings. Responsible to manage the furniture portion of all renovation projects. Review and check drawings and parts list for accuracy. Present the customer with final drawings, pricing and any other additional information related to the specific project. Complete ergonomic workstation assessments of York Regional Police members to ensure correct working postures and workstation set up. Partners with Health and Safety Bureau to communicate and clarify safety needs and develop short and long term plans relating to pandemic issues and operational safety initiatives and programs. Responsible to mitigate the Risk associated to vague or ever changing requirements when working with new construction, renovations and space planning. Education, Licensing & Certifications Three (3) Year College Diploma in Interior/Environmental Design or Architectural/Engineering Design Technician or a related field. Experience Three (3) Years in Facility Management/Space Planning role using AutoCAD for furniture and space planning and design. Skills Knowledge of Occupational Health and Safety Act legislation/ergonomic standards. Demonstrated knowledge of furniture systems and design/pre-design principals related to space planning. Experience in budgeting and analysis. Knowledge of planning methods, project development, contract document preparation and building systems and standards. Demonstrated proficiency in AutoCAD, intermediate proficiency in MS Office software applications such as word processing, spreadsheet, presentation and Access applications, and working knowledge of furniture asset management software. Strong time management and organizational skills. Demonstrated leadership skills to lead and coordinate projects to meet project goals and targets. Problem solving abilities in order to develop specifications for quotes, make multiple requests based on the needs of others, create business cases and develop a space plan that is both cost effective and meets requirements. Good interpersonal, communication and problem solving skills to resolve space planning issues. Ability to work outside regular business hours, as required.
