The firm is committed to shaping the future our clients want, precisely when it matters most.Position OverviewThe Concierge Coordinator reports to the Director, Administrative Services in Ottawa and is responsible for responding to a variety of hospitality and concierge requests from the firms legal professionals, delivering a highquality personalized service.Success MeansStrong clientservice approach ready, willing, and able to put clients first and exceed expectations.Caring about one another strong interpersonal skills and the ability to build harmonious working relationships within the team and across departments.Collaborative work style selfstarter who values teamwork.Exceptional verbal and written communication with lawyers, clients, staff, and third parties.Agile, willing to learn and adopt new technology.Adaptable to changing priorities in a fastpaced environment, with strong organization and attention to detail.Strong research, investigative, and problemsolving skills with sound judgment.Discretion and diplomacy when handling sensitive and confidential matters.Primary ResponsibilitiesRespond courteously and professionally to all concierge requests and follow up meticulously.Make reservations and purchases (gifts, travel, meetings, events) and provide clear, precise information.Deliver highquality client service.Master concierge software (DeskPro, MondayBoard).Stay informed about new products/trends for suggestions.Update supplier knowledge base as required.Propose initiatives to improve customer satisfaction.Possess strong knowledge of local restaurants, shops, events, and attractions.Office ServicesAssist with boardroom setup, maintenance, catering coordination, table and chair handling.Maintain office supply and document center area.Manage records file box delivery and pickup for internal clients.Stock printer stations with paper and stationery.Perform general office repairs and maintenance.Conduct periodic premises inspections.Coordinate office moves and assign access cards.Act as point of contact with building contractors to resolve issues.Assist with special projects and general administrative duties.Provide reception and AV backup coverage.Required Knowledge & ExperienceCertificate in administration, hospitality, or a related college diploma.Minimum 3years of relevant experience.Strong communication skills, both oral and written.Proficiency in Microsoft Office (Word, Excel, Outlook).High professionalism and customerservice orientation.Ability to manage multiple tasks and thrive in a fastpaced environment.Excellent organizational and timemanagement skills.Positive, autonomous attitude and collaborative spirit.Diversity and InclusionFasken is committed to building a diverse, equitable, and inclusive firm.
