POSITION MANDATEThe Project Scheduler develops the project schedule with the support of key project stakeholders (Contracts, Engineering, Procurement & Manufacturing) and monitor/update approved baseline schedule with regular coordination as per approved communication plan. Utilizing expertise in P6 Professional software tools , the Project Scheduler adeptly maintain schedules, oversee logistics, and execute administrative tasks, ensuring streamlined project management.REPRESENTATIVE DUTIESProject CoordinationMonitors, maintains, and assists with the creation of project management processes, document control, and the general support of related databases (purchase orders, customer information, budget, applicable paperwork to the Department, etc.) as required.Provides leadership and guidance in support of the Project Manager in the administration and maintenance of assigned project schedules including coordination of logistics when needed.Schedule and coordination of multiple and overlaying projects within established capacities and makes recommendations for workforce planning.Supports the Project Manager in the planning and scheduling project meetings (kick-off, continuous improvement, etc.).Liaises with Department project manager, and customer where appropriate and, as required.Analyze work capacity and schedule alignment, identifying and addressing potential issues.Provides the Project Manager with the compilation, analysis, and summarization of project financial information to monitor budget status and notifies Project Manager, Supervisor or Manager when expenditures are approaching identified thresholds.Compiles, analyzes, and summarizes job costs to determine overall profit margin.Track procurement activities and communicate any risks or delays to project managers.Work closely with project manager to identify schedule and potential cost changes.Works regularly with project management team to recommend improved processes and systems related to project administration.Handle scheduling tasks for both engineering & manufacturing aspects of projects, ensuring alignment and progress tracking.EDUCATION AND EXPERIENCEThe position requires a Grade 12 or equivalent and a relevant one-year post-secondary certificate with five (5) years of relevant experience along with advance knowledge of project management as well as coordination and administration of a project lifecycle. Experience in P6 Scheduling is a must. An equivalent combination of education and experience may be considered. A diploma or certificate in project administration or project management related education may be considered.ACCOUNTABILITIESProject based profit margins are calculated within a reasonable time frame following the completion of projects.Supports the project manager to establish Kick-off meetings and continuous improvement meetings which are scheduled and effective.Administrative support is timely, accurate and relevant to the scope of the work.Required documentation meets quality expectations and standards regarding data entry and/or filing (PO, expenses, budgets, etc.).Positive and professional relationships and communications with internal and external contacts essential to performing the positions duties are established and maintained.The quality of the work delivered meets expectations.Issues of concern or importance are communicated to the Project Manager, Supervisor or Department Manager in a timely manner.Compliance with relevant policies, procedures, standards and practices, legislation and codes meet expectations.JOB SCOPEPerforms administrative duties to support internal departmental services, focusing on project scheduling. Requires broad knowledge of TPS, interdepartmental relationships, and its operations and has frequent communications with individuals and groups across the organization.EFFORTThe work is cyclical, causing volumes and deadlines to fluctuate. All work is deadline driven. Some discretionary decision-making is expected within established policies, procedures, and guidelines. Judgment is used to determine the appropriate steps to be taken within guidelines or procedures. Concentration is required for planning how to complete assigned work and for dealing with technical and/or logistical problems.
