Ready to take the next step in your career?Your new opportunity might be right here. We are looking for a Fleet Compliance Administrator to join our Fleet department team in Mississauga. Whats the challenge? As the Fleet Compliance Administrator, you will ensure that the companys fleet operations are in full compliance with Canadian federal, provincial, and industry regulations. Your role handles documentation, reporting, driver qualification, maintenance records, safety protocols, and audits to minimize risk, ensure legal compliance, and support operational efficiency. What do we expect from you? What will you find here? DUTIES AND RESPONSIBILITIES: Driver Compliance & Records Pull and review driver abstracts; identify highrisk drivers, confirm license validity, and review infractions. Issue disciplinary memos for suspended licenses or highpoint thresholds that exceed company policy. Track expiry dates for driver licenses, medicals, etc. Track driver training requirements (HOS, Daily Inspection, ELD, TDG if needed, and NORS fleet training). Support onboarding/offboarding of drivers in compliance systems. Vehicle Compliance & Maintenance Maintain vehicle files electronically: ownerships/registrations, annual safety inspections. Work with Branch Admins to ensure vehicle binders contain all required documents for heavy vehicles (ownership, insurance, inspections, carrier certificates, accident reports, fuel/maintenance cards, call lists, fleet policy). Monitor PM compliance: send biweekly emails to branches to schedule overdue maintenance and ensure proper service types are completed at required intervals. Hours of Service (HOS) / ELD Monitoring Set up and track ELD training for new hires. Review ELD logs (Geotab & Motive). Identify and correct violations: missing logs, paper log collection, HOS infractions (14hour rule, daily limits). Safety & Regulatory Compliance Support Safety or Fleet Manager with carrier profile renewals, quarterly reviews, IFTA reporting, and trip inspection compliance. Document and track collisions, near misses, vehicle damage, incident reports, and related corrective actions. Identify repairs under deductible for supervisor approval and liaise with insurance companies or brokers. Renewals Management Manage renewals for annual vehicle license plates, heavy vehicle inspections, crane inspections, and IRP plates (if needed). Reporting & Data Administration Prepare monthly and quarterly compliance reports and maintain spreadsheets or compliance software data. Track KPIs: CVOR events, HOS violations, preventive maintenance compliance, incident frequency/severity. Policy & Procedure Support Help update safety manuals and fleet SOPs. Communicate compliance updates to drivers and operations teams. Assist with toolbox talks or safety meetings as needed. Communication & Coordination Liaise with mechanics/maintenance vendors, drivers, branch operations contacts, Health & Safety department, and provincial ministries. CORE COMPETENCIES: Ability to work independently and manage competing deadlines. Valid G licence. Excellent organizational skills and attention to detail. Analytical mindset; ability to interpret data and generate actionable insights. French speaking is an asset. Proficiency with Microsoft Office (especially Excel) and/or compliance software. EDUCATION / TRAINING: 25 years of experience in fleet operations, safety, or compliance preferred. Strong understanding of transportation regulations (NSC, CVOR, IFTA, etc.). Experience with ELD systems (Geotab, Samsara, Motive, etc.) is an asset.
