One Academy is actively searching for an Operations and Member Experience Supervisor to become an integral part of the operations team at One Academy- The Glebe Ottawa. In this role, you will play a pivotal role in leading the Front Desk and Cafe team and providing valuable support to the Management Team by undertaking a diverse set of essential operations tasks. Key Responsibilities: Overall Management: Oversee the day-to-day operations of One Academy Downtown Supervise Front Desk operations and team, ensuring smooth and efficient functioning Oversee the day-to-day operations of the OA Cafe, located at the same location as the gym - * Please see more details below Membership and Mindbody Management: Handle membership-related tasks and queries via in person interactions, email and phone calls Utilize Mindbody management system to ensure accurate record-keeping Master the platform both on the consumer and administrative ends Front Desk Associates and OA Cafe: Hire, train and support new staff members Schedule and supervise Front Desk Associates and Baristas Oversee and process payroll for Front Desk and OA Cafe staff Work together with the finance team to set up new payroll management platform profiles and update it accordingly Run monthly team meetings to align staff on goals, updates, and expectations, review performance, share key initiatives, and reinforce company standards and culture Expenses Management: Track and manage expenses related to operations for both OA Cafe and facility overall Ensure all expenses, invoices, and receipts are accurately documented and organized for auditing or reporting purposes Provide regular reports on budgetary performance Assess the need for new equipment and facility items, and make informed recommendations to ensure effective use of the available budget Proactively identify and flag any potential budget issues at the earliest opportunity, ensuring leadership is informed in a timely manner and able to take appropriate action to maintain financial accountability and operational efficiency Identify opportunities to reduce costs, improve efficiency, and maximize the impact of allocated funds Evaluate vendor options, negotiate pricing, and ensure purchases are cost-effective while meeting operational needs Special Projects: Own and lead assigned special projects from planning through execution, ensuring objectives are met on time and within scope Develop project plans and timelines, define deliverables, and manage resources to achieve project goals Coordinate cross-functional teams as needed, providing guidance and accountability to ensure successful outcomes Monitor progress and report results to leadership, flagging challenges and proposing solutions proactively Drive process improvements and implement new strategies identified through projects to enhance operations and member experience Ensure alignment with organizational priorities, taking full ownership of projects that support broader business objectives Facility Management: Oversee the overall maintenance and cleanliness of the facility, ensuring it meets safety, operational, and brand standards Coordinate with internal teams and external vendors to address repairs, maintenance, and facility-related issues in a timely and efficient manner. Manage inventory of operational and facility supplies, monitoring usage, restocking as needed, and ensuring cost-effective purchasing Conduct regular inspections to identify potential issues and implement preventive measures to maintain a safe and welcoming environment Support budget and capital planning by assessing facility needs and recommending updates, replacements, or upgrades Ensure compliance with health, safety, and regulatory standards, maintaining a safe environment for members and staff OA Cafe Operations In addition to overseeing One Academy''s core functions listed above, this role will include full responsibility for the operations of OA Cafe, our newly launched in-house cafe. Key responsibilities include: Hiring & Training: Recruit, onboard, and train baristas and caf staff to ensure high-quality service and alignment with OA standards Team Supervision: Build and lead a motivated cafe team, fostering a positive and efficient work environment Expense & Sales Tracking: Monitor daily expenses, manage budgets, and track sales performance. Prepare and present regular sales reports Develop and implement sales strategies to increase revenue, improve average transaction value, and consistently meet or exceed sales targets Analyze sales data and trends to identify opportunities for growth, promotions, or menu optimization Drive customer engagement initiatives that enhance the member experience and encourage repeat purchases Collaborate with staff to ensure upselling, cross-selling, and operational excellence support revenue objectives Supplier Relationships: Establish and maintain strong relationships with suppliers to ensure reliable product availability, quality, and cost-effectiveness Customer Experience & Retention: Deliver an exceptional caf experience that drives repeat business and supports overall member satisfaction Health & Safety Compliance Oversee adherence to food safety, cleanliness, and health regulations. This is especially important when opening something new Integration with One Academy Community Position OA Cafe as an extension of the One Academy experience (pre/post workout offerings, member engagement, events) Qualifications: Bachelor''s or Master''s degree in Sport Management preferred from an accredited program Minimum of 2 years in similar leadership role Previous experience in the food and beverage industry within a fast-paced environment and focus on customer service, processes and procedures development, team hiring, training and development and costs/sales tracking Previous experience in customer service within a fast-paced environment Excellent communication skills, via online, over the phone, and in person Excellent communication and interpersonal skills A valid driver''s license and reliable transportation are preferred Ability to work effectively both independently and as part of a collaborative team.
