SUMMARY: This role is responsible for coordinating trucking services and supporting end-to-end customer needs, including booking, tracking, documentation, and communication with carriers and customers. The role ensures shipments move smoothly and on time by managing documentation, updating systems, and proactively resolving issues. This position requires strong multitasking ability, attention to detail, and excellent communication skills to support seamless operations DUTIES AND RESPONSIBILITIES: Respond promptly to all phone calls and emails, including pickup requests, rate inquiries, service updates, and general customer needs. Search for carriers, negotiate rates, and confirm bookings based on service and cost requirements. Track and trace shipments in transit, provide proactive status updates, and resolve service issues or delays. Save and maintain shipment documents (BOLs, customs papers, packing lists, PODs) in the system/server for recordkeeping and compliance. Ensure timely and accurate data entry for all loads, including DO creation, load planning, and appointment scheduling. Communicate clearly with both customers and carriers to ensure proper instructions, escalation handling, and timely problem resolution. Review and finalize charges from carriers, ensuring billing accuracy and alignment with company policies. Support documentation processes as needed, including in-bond or customs forms, to ensure seamless shipment flow SCHEDULE: 1st Shift (9am-6pm) Monday - Friday OR Tuesday - Saturday Overtime availability as needed QUALIFICATIONS: High school diploma required Fluency in English / Spanish 12 years of experience in trucking, freight forwarding, or logistics preferred. Proficient in Microsoft Office Suite, especially Excel. Strong organizational skills with excellent attention to detail. Ability to multitask and work effectively in a fast-paced environment. Strong verbal and written communication skills; excellent customer service orientation. Team player with the ability to work independently when needed. Flexibility to rotate weekend or holiday coverage as required.
