The Role This is a senior, hands-on leadership role responsible for the end-to-end ownership of Human Resources, Health & Safety, and Compliance at Progressive Industrial Fluids. The successful candidate will act as the central point of accountability for all people-related processes and safety initiatives across the organization. This includes not only maintaining existing systems and policies, but actively improving them so they work effectively within our ERP (Odoo) and our day-to-day manufacturing environment. We are looking for someone who is approachable, fair, and supportive while also being confident setting expectations, enforcing standards, and addressing issues directly and professionally when required. This role requires sound judgment, discretion, and the ability to make decisions independently within established policies and legal frameworks. This position is designed to fully remove HR, safety, and compliance from ownership involvement in day-to-day matters. The role requires someone who can manage employee issues, training needs, documentation, and compliance requirements proactively, escalating only when appropriate and with clear recommendations. This is not a desk-only HR role. Time spent on the production floor, in the warehouse, and with teams is essential. Understanding how work is actually performed is critical to building effective onboarding, training, safety, and performance programs that are practical and sustainable. The People, Health & Safety, and Compliance Lead is also expected to play a key role in shaping company culture reinforcing accountability, respect, consistency, and continuous improvement while supporting both employees and leadership through clear processes and open communication. Human Resources & People Operations You will own HR operations end-to-end, ensuring the entire employee lifecycle is managed with structure, consistency, and professionalism. This includes running a reliable onboarding and offboarding process, maintaining accurate employee records and documentation, and serving as the central point of coordination for employee relations. You will handle employee concerns and complaints promptly and appropriatelylistening carefully, documenting accurately, following through, and escalating when necessaryso issues dont linger or get brushed aside. You will also support managers with performance management and disciplinary processes by providing clear guidance, ensuring consistency, and building the tools and templates required to address issues properly (including written warnings and documentation workflows). A key part of this role is monitoring attendance and timekeeping, including clock-in/clock-out activity, to support accurate payroll inputs for both hourly and salaried staff, and to ensure time and attendance expectations are applied fairly and consistently across the company. You will be expected to provide clear answers and guidance to employees on payroll-related questions, benefits, RRSP processes, and other HR programs, helping reduce confusion and improving employee confidence in our systems. In addition, you will continuously improve the organization and accessibility of HR documentation so it is easy to find, accurate, and compliant. Recruitment is also part of your ownership: you will actively participate in hiring by screening candidates, coordinating interviews, gathering feedback from team members involved in the process, and making thoughtful hiring recommendations aligned with both role requirements and company culture. Health & Safety in a Chemical Manufacturing Environment You will lead, enforce, and continuously improve health and safety practices across the entire facility, ensuring that safety is treated as a core operational priority in a chemical manufacturing environment. This includes maintaining compliance with ministryrequirements, applicable environmental regulations, and any other relevant federal, provincial, or industry-specific regulatory bodies. You will ensure that safety policies, procedures, and training programs are not only documented, but actively understood and followed on the floor. A key responsibility of this role is ensuring employees have the appropriate personal protective equipmentfor their specific duties, that PPE is readily available, properly maintained, and consistently used. You will take ownership of tracking employee licenses, certifications, and training requirements, proactively scheduling renewals and retraining well in advance to prevent lapses in compliance or unsafe work conditions. You will coordinate and support Joint Health & Safety Committeeactivities, ensuring meetings are organized, documented, and followed by timely action. Items raised through JHSC or other safety channels must be investigated, addressed, and closed out with clear corrective actions and communication back to the team. Health and safety concerns raised by employees will be taken seriously and handled with urgency, professionalism, and transparency. You will oversee incident reporting and investigations, ensuring they are completed thoroughly and objectively, root causes are identified, and corrective and preventative measures are implemented. Beyond reactive work, you will play an active role in driving continuous improvement in safety practicesusing data, observations, and feedback to reduce risk, improve preparedness, and ensure the organization remains compliant, safe, and audit-ready at all times. Training, Onboarding & Performance You will build and maintain structured, role-specific onboarding programs that ensure every new hire is set up for success from day one. This includes creating clear onboarding checklists, scheduling required training, ensuring documentation is completed, and coordinating cross-department introductions so new team members understand not only their own responsibilities, but how their work connects to the wider operation. Onboarding must be consistent, practical, and easy for supervisors and employees to follow, with progress tracked and expectations clearly communicated. You will also schedule and coordinate ongoing training and refresher programs for existing employees based on role requirements, certifications, safety needs, and operational priorities. Training should not be reactive or last-minute it should be planned, tracked, and followed through so employees remain qualified, confident, and safe in their roles. Working closely with leadership and supervisors, you will identify training gaps and development opportunities, then turn those into clear action plans that improve performance, reduce errors, and strengthen team capability over time. In addition, you will create and administer a structured performance appraisal program that is simple, consistent, and actually used. This means designing the framework, building the schedule, ensuring managers are prepared to conduct reviews properly, and tracking completion so evaluations happen on time and dont fall off the radar. The goal is to support fair feedback, clear expectations, and continuous development not a once-a-year exercise. Through all of this work, you will reinforce a culture of accountability, engagement, and continuous improvement by helping teams identify issues early, follow through on corrective actions, and build better systems so problems are solved properly and dont repeat. Systems, Compliance & Odoo You will own and continuously improve the HR, training, and compliance workflows within Odoo, ensuring the system is used consistently and effectivelynot bypassed. This includes maintaining accurate employee records, organizing documents and policies, tracking training and certifications, and supporting structured processes for onboarding, offboarding, attendance, and performance management. You will be expected to understand how our operations work and then configure and maintain HR processes so they are practical for the floor and scalable for the business. A key part of this role is improving or redesigning HR processes so they fit properly inside the ERP while remaining aligned with legal and operational requirements. That means translating real-world workflows into clear steps, building the right templates and checklists, setting up automation where appropriate, and ensuring managers and employees know how to follow the process without confusion. You will ensure the company remains compliant with Ontario labour laws, workplace safety regulations, and applicable standards relevant to our manufacturing environment, and you will help leadership stay ahead of compliance requirements through proactive planning and documentation. You will also maintain organized, accurate, and auditable records to support internal reporting, inspections, and regulatory needs. Documentation must be complete, easy to retrieve, and consistently maintainedcovering training records, incident reports, performance and discipline documentation, employment agreements, and compliance-related filesso the business is always prepared for audits, investigations, or regulatory reviews without scrambling. You should have a practical, working understanding of Ontario labour standards and workplace safety requirements, and be comfortable applying them in real operational situationshandling employee relations appropriately, maintaining documentation, supporting performance management, and ensuring safety expectations are consistently followed. This role also requires someone who has proven they can build, implement, and improve HR processes, not simply maintain what already exists. You should be organized, responsive, and reliableable to manage multiple priorities, meet deadlines, and close loops without work stalling or being left unresolved. Strong written and verbal communication is essential, along with the ability to deliver clear direction to employees and managers on topics like policies, benefits, payroll-related questions, and training requirements. Finally, digital competency is a must. We are an ERP-driven company and this role will live inside Odoo. You must be comfortable working in an ERP environment and using systems properlynot bypassing them. Experience with ERPs is an asset, and Odoo experience is a strong asset. The ideal candidate will be able to learn our configuration quickly, use Odoos functions to manage HR workflows (onboarding/offboarding, documents, training tracking, appraisals, time and attendance, employee records), and continuously improve how processes are structured so theyre practical for the floor and scalable for the business.
