POSITION OVERVIEW: Reporting to the Project Manager, ICAT, this individual will be responsible for providing direct support to the ICAT department and Project Manager, and Field Staff. Working under direct supervision, the Project Coordinator assists with the coordination and execution of assigned phases of project delivery. This position follows defined procedures and instructions (verbal and written), with supervisor approval required for proposed actions. The Project Coordinator communicates and coordinates with internal and external stakeholders to support project success. ESSENTIAL DUTIES AND RESPONSIBILITIES: Assist Project Managers in obtaining shop drawings from manufacturers, suppliers, and subcontractors. Read and interpret drawings and specifications. Update current drawings and maintain document control. Copy, print, distribute, and maintain drawings sets. Track change orders and assist with change documentation. Support QA/QC processes, and work with internal departments to ensure proper productivity reporting, commissioning, and project scheduling. Obtain, track, and organize quotes from suppliers and vendors. Assist with reviewing supplier quotes and work with the Project Manager to develop purchase order request forms. Track material orders, releases, and back orders; follow up with vendors and suppliers as required. Ability to review and understand specifications. Assist with preparing manpower loading charts and ensuring appropriate manpower availability. Work with electrical and mechanical operations teams to ensure pathways are correct and completed prior to communication technicians being deployed to site to ensure efficiency. Perform quantity counts and site readiness checks as requested. Support LAN room readiness and cleanliness. Works with Project Managers/Directors for clarification and Changes when required. Provide administrative support to the Project Manager and Project Team. Attend site meetings and visit job sites as required to support the Projects Team. Participate in internal operational meetings including Project Delivery meetings, staff meetings, and Project Status review meetings. Research and assist with recommendations for changes based on best industry practices. Distribution of change notices/orders to internal team, subcontractors, and suppliers. Assists with cost projections related to changes (data entry and tracking). Work with other sub-trades to ensure normalization of data points. EXPERIENCE, SKILLS & KNOWLEDGE: Bachelors degree in Engineering, Certified Engineering Technologist, or a related field; or an equivalent combination of education, training, and relevant work experience. Experience supporting Industrial, Commercial, and Institutional (ICI) projects. Exposure to ICAT systems and scopes including, but not limited to: Security, Networking, WiFi, Structured Cabling, RTLS, Nurse Call, and system integrations. Experience with ICAT installations and/or estimating is considered an asset. Familiarity with Accubid LiveCount is an asset. Strong verbal and written communication skills. Excellent organizational, record-keeping, and follow-up abilities. Proficient with Microsoft Office applications (Outlook, Word, Excel, etc.). Ability to manage multiple tasks under tight timelines and work effectively as part of a collaborative project team in a professional office environment.
