Position Overview: We are seeking an experienced Fleet Coordinator to support and manage our growing fleet operations across North America. This role is critical to ensuring fleet compliance, efficiency, and cost control within a fast-paced waste and transportation environment. The ideal candidate brings strong hands-on fleet experience, a deep understanding of trucks and equipment used in the waste industry, and the ability to educate and guide internal teams on fleet-related purchasing and processes. Key Responsibilities: Fleet Operations and Administration Coordinate day-to-day fleet administration for company-owned and leased vehicles and equipment Manage vehicle licensing, registrations, renewals, and custom permits across jurisdictions Track and monitor tickets, violations, and offenses, ensuring timely follow-up and resolution Maintain accurate fleet records and documentation Monitor company vehicles for compliance and operational readiness Systems and Reporting Maintain and optimize fleet systems including Fleetio, GeoTab, and related telematics platforms Build and maintain custom reports and dashboards using PowerBI and other reporting tools Provide fleet reporting and insights to stakeholders across multiple divisions nationwide Vendor Management and Procurement Support and educate teams on fleet-related purchasing and procurement best practices Build and maintain strong vendor relationships across Canada and the US Assist with vendor negotiations, pricing, and service agreements Support brokerage and logistics coordination related to fleet assets and equipment movement Act as a resource for buying decisions, ensuring cost-effective and compliant purchasing Cross-Functional Collaboration Work closely with operations, safety, finance, and leadership teams across all regions Support national fleet initiatives and standardization efforts Provide guidance and training to internal teams on fleet processes and tools Qualifications: Proven experience in fleet coordination or fleet administration, ideally within waste, transportation, or heavy equipment environments Strong understanding of waste industry trucks and equipment High attention to detail with strong administrative and organizational skills Hands-on experience with Fleetio, GeoTab, PowerBI, and custom reporting is highly preferred Experience managing licensing, registrations, permits, and compliance requirements Ability to teach, influence, and guide others on fleet and procurement processes Strong communication and relationship-building skills Ability to manage multiple priorities across a national fleet Bilingualism is considered an asset This is more than a job - its your opportunity to be part of something bigger.
