Position Summary The Executive Assistant position supports the executive team, including the CEO, through the completion of administrative duties. The Executive Assistant must be diligent and organized to ensure tasks are executed properly and efficiently. This role works closely with people from different departments within the organization and requires an individual who is team-oriented and has strong collaboration skills. The Executive Assistant is ambitious and thrives in a fast-paced environment. Responsibilities & Expectations Executive & Administrative Support Manage schedules, calendars, and meetings for the executive team, including the CEO. Coordinate and arrange various events and activities as required. Record and document meeting minutes. Assist in preparing communications to staff from members of the executive team. Manage company purchases via corporate credit card, ensuring accurate tracking and reconciliation of monthly statements. Coordinate office room bookings and travel arrangements for staff as required. Retain, organize, and manage records and confidential documents. Provide backup support for the receptionist at POS Biosciences, including welcoming visitors, answering phones, paging staff, and monitoring security cameras during absences as required. Contract Management Oversee the distribution and completion of internal lead qualification forms (LQF) to ensure completion. Prepare and execute contracts, including nondisclosure, services, material transfer, and custom processing agreements. Act as the direct liaison between sales staff and corporate legal counsel. Correspond with the client on all contracts and coordinate review of any changes with corporate legal counsel. Maintain contract records to ensure compliance with company policies. Enter lab and pilot plant projects for POS Biosciences into the Epicor system, ensuring accurate setup of customers, project IDs, contract phases, project task items, sales orders, and job numbers. Generate contract invoicing and track receipt of invoice payments. Supervise administrative assistants, ensuring efficiency and professional development. Delegate administrative tasks and provide mentorship. Oversee workflow improvements and streamline administrative processes. Act as a liaison between executives and administrative teams. Desired Qualifications 3-5 years of administrative experience, with a preference for experience working directly with an executive team Post-secondary training within administration is an asset Excellent attention to detail and ability to multi-task Proven ability to work with confidential information Excellent interpersonal and communication skills Ability to work in a fast-paced environment Strong prioritization skills What Do We Offer?
