Salary: $65,000 $75,000 annually (commensurate with experience) Gillian Segal Design is seeking a highly organized, proactive, and detail-driven Studio Manager & Executive Support to oversee the day-to-day operations of our studio while providing comprehensive support to the Principal. This is a hands-on role within a growing, founder-led design firm. It is an operational and support role designed to ensure the studio and Principal can perform at their highest level. Role Overview The Studio Manager & Executive Support is responsible for ensuring the studio operates efficiently and cohesively so that the design team can focus on billable work and the Principal can lead, design, and generate revenue at the highest level. This is an in-office role requiring a consistent on-site presence to support daily studio operations, logistics, and front-of-house responsibilities. Success in this role means fewer operational disruptions, stronger systems, and seamless coordination across studio and personal logistics. You will help create an environment where productivity is maximized, deadlines are met, and the business runs smoothly. Key Responsibilities Studio Operations, Environment & Front-of-House Serve as the first point of contact for the studio, setting the tone for warmth, professionalism, and attention to detail. Welcome clients into the space and ensure a polished, client-ready environment at all times. Answer phones and manage incoming inquiries. Collect and distribute mail; manage outgoing packages and courier coordination. Oversee shipping, receiving, and logistics coordination, including brokerage and duties. Manage office supplies, inventory, and vendor coordination. Coordinate and book cleaning services, office equipment maintenance, and repairs. Take ownership of daily tidying and upkeep of shared studio spaces. Organize and physically maintain the sample library to ensure it remains orderly and accessible. Identify inefficiencies and implement practical systems to improve workflow. Proactively remove operational bottlenecks that impact team productivity. Administrative & Project Support Schedule appointments and meetings for the Principal and design team. Assist with scheduling client meetings and coordinating vendor product presentations. Support the design team with quotes, purchase orders, and order tracking. Assist with project intake, proposals, and contract documentation. Maintain organized project files and internal documentation. Attend meetings as required and track action items to ensure follow-through. Liaise with vendors, consultants, and external partners as needed. Provide general administrative support to reduce friction and protect billable hours. Assist in planning and coordinating team events and studio gatherings. Executive & Personal Support to Principal This role includes comprehensive and integrated support to the Principal across both professional and personal responsibilities. The objective is to ensure seamless coordination of work, family, and life commitments so the Principal can remain focused on leadership and billable work. Strategically manage the Principals professional and personal calendars. Coordinate business travel, personal travel, and family travel logistics. Schedule and manage childrens appointments and family commitments. Coordinate home-related vendors, service providers, and household scheduling. Assist with personal administrative tasks, errands, and time-sensitive purchases. Anticipate scheduling conflicts and proactively manage shifting priorities. Act as a trusted gatekeeper and prioritization partner. Exercise discretion, professionalism, and strict confidentiality at all times. Qualifications & Experience Minimum 46 years of experience in studio management, office management, executive assistance, or operations support. Experience supporting senior leadership or a founder in a fast-paced environment. Demonstrated ability to anticipate needs and take initiative without constant direction. Proven track record of strong follow-through and attention to detail. Experience managing complex scheduling across both professional and personal contexts. Comfortable coordinating vendors, service providers, and logistics independently. Strong written and verbal communication skills. High level of professionalism, discretion, and sound judgment. Proficiency in Microsoft Office and/or Google Suite. Valid BC drivers license required. Reliable access to a vehicle required. Experience in a design, architecture, or boutique professional services firm considered an asset. What We Offer Salary range of $65,000 $75,000 annually, based on experience.
