Job Summary We are seeking a dynamic and highly organized Executive Coordinator to join our team! Duties Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace Organize and plan events, conferences, and meetings from start to finish, ensuring all logistics are handled smoothly Handle phone etiquette professionally across multiline phone systems, screening calls and directing inquiries appropriately Perform data entry, filing, and document management tasks with accuracy using Microsoft Office and other office software Assist with bookkeeping responsibilities such as invoicing, expense tracking, and QuickBooks data management Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of deliverables Manage office supplies inventory, oversee front desk operations, and maintain a welcoming environment for visitors Proofread documents, transcribe recordings or notes as needed, and ensure all communications are clear and errorfree Utilize DocuSign for electronic signatures and facilitate document signing processes efficiently Provide personal assistant support to executives by managing travel arrangements, preparing agendas, and handling confidential information Qualifications Proven experience in office management or executive administrative support with a strong background in clerical tasks Demonstrated expertise in event planning, project coordination, and calendar management tools such as Microsoft Outlook Calendar and Google Workspace Proficiency in QuickBooks for bookkeeping tasks along with excellent data entry skills Strong organizational skills with the ability to prioritize multiple tasks effectively in a fastpaced environment Excellent phone etiquette skills across multiline systems combined with professional customer service experience Computer literacy in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with transcription or proofreading tasks Experience handling confidential information with discretion; previous personal assistant experience is a plus Ability to perform typing at a high speed while maintaining accuracy; familiarity with office equipment such as fax machines and scanners is beneficial Exceptional organizational skills complemented by keen attention to detail and proactive problemsolving abilities Join us as an Executive Coordinator where your energy fuels our success!
