Position Overview: We are looking for an enthusiastic Administrative Assistant to join our team, the Assistant will coordinate and deliver exceptional administrative support to the Advisor and other licensed team members. As a valued member of the team, the Assistants primary role would be managing data entry and file management to create an efficient and compliant office environment and other duties as assigned. Candidates hired into this role by Douglas will not have an employment or contractor relationship with Sun Life. Their services will be engaged exclusively by the Douglas Stroud, Advisor. Responsibilities: Provide administrative support to financial advisors. Assist in preparing and processing client paperwork, including account openings, transfers, and other administrative forms. Maintain client records and ensure accuracy and completeness of information. Digitizing and consolidating Client files to CRM database (Salesforce) Answer and direct phone calls in a professional manner, addressing inquiries or directing to the appropriate team member. Coordinate and prepare documents and materials for client meetings and presentations. Assist in general office tasks such as filing, scanning, and maintaining office supplies. Collaborate with team members to ensure smooth operations and client satisfaction. Qualifications: High school diploma or equivalent; Office Administration Certificate, a Diploma, or bachelors degree preferred. Prior administrative or office experience, preferably in a financial services or related industry. Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software. Excellent organizational skills with the ability to prioritize tasks and manage time effectively. Strong attention to detail, accuracy in data entry, form literacy, and record-keeping. Excellent communication skills, both written and verbal. Ability to maintain confidentiality and handle sensitive information with discretion. Management of Social Media Business Pages Positive attitude, willingness to learn, and ability to work effectively both independently and as part of a team.
