Position Overview We are seeking a highly organized and detail-oriented Receptionist / Shipping & Office Coordinator whose primary responsibility will be coordinating all outbound and inbound shipping logistics, while also managing front-desk operations and general office administration. This role is critical to ensuring smooth daily operations, professional client interactions, and on-time product delivery. Key Responsibilities1. Shipping & Logistics Coordination (Primary Duty) Arrange and schedule all outbound shipments (local courier, LTL, FTL, and freight carriers) Prepare shipping documents (BOLs, packing slips, courier waybills, customs paperwork if required) Coordinate with production and warehouse teams to ensure shipments are ready and properly staged Communicate pickup times and delivery expectations internally and externally Track shipments and proactively resolve delivery issues Compare freight quotes and help manage shipping costs Maintain organized records of all shipping documentation Assist with inventory coordination related to shipping schedules Reception & Front Desk Duties Greet and assist visitors, clients, and vendors professionally Answer and direct incoming calls Manage incoming and outgoing mail and courier deliveries Maintain a clean and professional reception area Coordinate meeting room bookings and visitor arrangements Office Administration Order and manage office supplies Support management with administrative tasks as required Assist accounting with document collection and filing Maintain organized filing systems (physical and digital) Support internal coordination between departments (sales, production, warehouse) Qualifications & Skills Experience in office administration, reception, or logistics coordination Experience arranging freight or courier shipments (strong asset) Strong organizational and multitasking abilities Excellent communication skills (verbal and written) Comfortable using Microsoft Office (Excel, Outlook, Word) Experience with ERP systems is an asset Ability to work in a fast-paced manufacturing environment Professional demeanor and strong customer-service mindset What We''re Looking For Highly reliable and punctual Detail-oriented and process-driven Proactive problem solver Calm under pressure Strong sense of ownership and accountability Team player who supports cross-department collaboration Pay: $18.54-$26.29 per hour Benefits: Dental care Extended health care On-site parking Work Location: In person
