Visit us at Summary: The Field Accounting Administrator provides administrative and accounting support in a fast-paced, detail-oriented site environment. Reporting to the Site Manager, this role ensures payroll, invoicing, reporting, and administrative processes are completed accurately, efficiently, and professionally to support day-to-day site operations. Key Responsibilities: Research, compile, summarize, and analyze information to prepare professional correspondence and respond to inquiries from internal and external stakeholders. Organize and coordinate meetings, including preparing agendas and action items, booking meeting rooms, and arranging audiovisual requirements. Oversee and coordinate the sign-on and onboarding process for all new hire employees at site. Process invoices, employee expenses, and site-related payables accurately and in a timely manner. Administer site payroll, including daily timekeeping for all CAM employees in both the CAM time system and applicable client systems. Manage invoicing and billing processes, including entry into client systems and reconciliation to Dayforce to ensure accuracy and alignment. Collaborate with the Cash Application Team to monitor receivables and ensure timely payment collection. Prepare, document, and maintain weekly and monthly financial and operational reports as required by the Site Manager. Maintain and manage records in accordance with the CAM File Management System and corporate record retention standards. Monitor daily administrative and accounting deadlines to ensure deliverables are completed accurately and on schedule. Anticipate site and leadership needs by proactively initiating actions that conserve the Site Managers time and support operational efficiency. Handle highly confidential, sensitive, and critical information with discretion and professionalism when dealing with clients, managers, and employees. Identify and recommend opportunities for continuous improvement in site administrative and accounting processes. Perform additional duties as assigned by supervision or management. Qualifications: Minimum 35 years of experience in a similar field accounting or administrative role, preferably within an industrial or unionized environment. Experience working with Union Agreements is strongly preferred. Strong understanding of payroll processes and invoicing procedures. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and enterprise software systems (SAP, Avantis, Dayforce or similar). Excellent organizational and time management skills with the ability to meet strict deadlines. Strong written and verbal communication skills. Ability to interpret and carry out oral and written instructions with minimal supervision. Ability to work with confidential and sensitive information. Demonstrated ability to manage multiple priorities in a fast-paced environment. Strong interpersonal skills with a professional and tactful approach.
