UP Vertical Farms is seeking a full-time, on-site HR Supervisor to support core human resources and administrative operations. Reporting to the HR & Admin Manager, this role coordinates the employee lifecycle (recruitment, onboarding/offboarding, payroll, benefits, performance management, records, and immigration), ensures compliance with Canadian employment and OH&S legislation, and supports workplace health and safety initiatives. The position also oversees office administration, documentation, reporting, and system improvements, working closely with department managers to maintain efficient, compliant, and well-organized operations. Include but are not limited to: 1. Immigration & LMIA Support Assist with temporary foreign worker recruitment processes, including LMIA (Labour Market Impact Assessment) applications, in coordination with the HR and Admin Manager. Collect and verify required documentation from candidates and employees, including passports, work permits, immigration status, and supporting employment documentation. Maintain accurate and up-to-date records of work permit expirations, LMIA approvals, and other immigration-related deadlines. Liaise with government agencies (Employment and Social Development Canada, Immigration, Refugees and Citizenship Canada) to ensure timely submission and compliance of LMIA applications. Provide support to employees and managers regarding immigration compliance, work permit conditions, and reporting obligations. Assist with onboarding of temporary foreign workers, ensuring compliance with Temporary Foreign Worker Protection Act and BC labour and employment legislation. Maintain confidentiality of sensitive personal and immigration-related information in compliance with PIPA. 2. Clearance, Immigration & Compliance Management Liaise with department managers and internal stakeholders to resolve HR compliance issues, respond to inquiries, and prevent delays in onboarding or workforce administration. Conduct resume screening, reference checks, and criminal record checks in compliance with the BC Human Rights Code and privacy legislation. Maintain accurate records for work permits, immigration documentation, SIN verification, workplace incidents, and employee relations matters, as required. Track and proactively report upcoming work permit expirations, compliance deadlines, and immigration-related obligations under the Immigration and Refugee Protection Act and Temporary Foreign Worker Protection Act. 3. HR Administration & Employee Lifecycle Management Administer the full employee lifecycle in compliance with the BC Employment Standards Act, including offer confirmations, orientation, onboarding documentation, position or schedule changes, leaves of absence, and employment separations. Collect, verify, and securely maintain all employment-related documentation, including P-files, government-issued identification, SIN validation, work/study permits, tax forms, and certifications in accordance with PIPA privacy requirements. Process and administer employee lifecycle changes, including personal information updates, banking, shift changes, job changes, step/salary increases, transfers/promotions, leaves of absence, terminations, and exit processes, ensuring accuracy in Excel, ADP, ERP and payroll systems. Administer approved leaves and return-to-work processes, including coordination of ESA leaves, medical leaves, and accommodation-related returns. Maintain HR data and metrics, including exit interviews, engagement surveys, culture surveys, and job satisfaction surveys. Support performance management processes, including tracking probationary reviews, performance reviews, and related documentation. Data entry for HR metrics, including exit interviews, culture surveys, job satisfaction surveys, engagement surveys. Full-Cycle Recruitment and Selection Support Support full-cycle recruitment activities, including job postings, candidate pre-screening, interview coordination, and selection support. 5. HR Reporting, Systems & Process Improvement Generate HR reports related to onboarding effectiveness, recruitment activity, clearance timelines, turnover, and workforce metrics. Administer employment verification and income verification letter requests in compliance with privacy and consent requirements. Identify opportunities for continuous improvement in HR and administrative processes and assist in implementing approved process enhancements. Maintain proficiency in HRIS, payroll, and database management systems, ensuring data accuracy, integrity, and confidentiality. 6. Employee Engagement & Internal Communications Coordinate employee recognition initiatives, incentive programs, and staff appreciation events to support engagement and retention. Support the administration and analysis of employee engagement surveys, identifying trends and recommending areas for improvement. Communicate HR policies, procedures, and standards to employees and internal stakeholders as directed by the HR and Admin Manager. Assist with HR-related communications, including internal signage, staff notices, newsletters, SharePoint updates, and social media content. Support leaders in performance management practices, including probation management, performance reviews, career development discussions, and succession planning. Provide guidance to department managers on ESA-compliant leaves, immigration-related matters, terminations, and payroll timecard administration, escalating complex or high-risk matters to the HR and Admin Manager. 7. Payroll & Benefits Administration Support payroll administration by ensuring accurate and timely submission of employee data, changes, and approvals in accordance with ESA and statutory payroll requirements. Assist with benefits enrolment, maintenance, and discontinuance, ensuring compliance with plan rules and employment standards. Maintain working knowledge of statutory deductions, payroll controls, and benefit administration processes. 8. Occupational Health & Safety (OH&S) Support the organizations OH&S program and ensure compliance with the Workers Compensation Act and the Occupational Health and Safety Regulation. Participate in hazard identification, risk assessment, and the implementation of control measures. Assist in incident reporting, investigations, and follow-ups in collaboration with supervisors and the HR and Admin Manager. Promote a safe and healthy workplace by ensuring employees are trained, informed, and adhere to safe work procedures. 9. General Administrative & Organizational Support Provide administrative support and backup coverage for administrative supervisors as required. Assist with grant applications, documentation, and follow-up reporting. Contribute to SR&ED program administration, including meeting minutes, record keeping, and maintenance of supporting documentation. Assist with grant writing, business related applications and documents as needed. Track timecard completion, follow up on task management systems (e.g., ClickUp), and support interdepartmental reporting. Support the HR and Admin Manager with HR and non-HR projects, initiatives, and operational tasks. Assist with orders, payments, expense forms, reimbursements, mileage tracking, timecards and data entry as needed. Assist the HR and Admin Supervisor with day-to-day activities as required. Perform pickup/deliveries as required by the business. Perform other related duties as required. Qualifications Bachelors degree or diploma in Human Resource Management or a related field. At least 1 year of experience in a prior HR or immigration role. Demonstrated knowledge of British Columbia employment and workplace legislation, including: Employment Standards Act (BC) Human Rights Code (BC) Workers Compensation Act & Occupational Health and Safety Regulation Personal Information Protection Act (PIPA) Immigration and Refugee Protection Act Temporary Foreign Worker Protection Act BC Pay Transparency Act Experience with immigration, work permits, and LMIA applications and processes is an asset. Must be legally eligible to work in Canada. Valid Class 5 Drivers Licence. Prior experience in occupational health and safety and/or payroll administration is an asset.
