In this position, you will deliver high-level administrative and operational support to one or more Executives and their teams in a fast-paced, dynamic environment. You will ensure all processes and control standards are consistently met. Your contributions will be instrumental in driving the efficiency and success of the team, making you a valued partner in our continued success.Note: On-site full-time work will be required to successfully perform the work.How Youll SucceedExecutive Support & Calendar Management: Leverage sound judgment, discretion, and diplomacy to organize and coordinate the activities of our Executives, anticipate needs, provide timely updates with relevant background information, and maximize productivity for the Executives and broader team. Manage multiple complex calendars, screen requests, prioritize meetings, and oversee logistics including room bookings, site access, technology coordination, and catering.Travel & Expense Administration: Arrange and manage all travel requirements (airline tickets, hotels, ground transportation) and handle last-minute changes while ensuring alignment with company policy. Process expense reports and invoices with accuracy and efficiency, and provide guidance on expense policies as needed.Trusted Administrative Support: Exercise discretion with confidential correspondence and sensitive information. Manage day-to-day administrative tasks such as mail distribution, couriers, organizational charts, distribution lists, vacation tracking, and maintaining administrative files with professionalism and attention to detail.Onboarding & Offboarding Coordination: Lead onboarding and offboarding for new and departing team members, coordinate technology access, office setup, building access, and procurement of business essentials, ensuring compliance with internal policies and providing guidance to new hires and departing staff.Relationship Management & Collaboration: Build and maintain strong professional relationships with clients, internal teams, and external partners. Collaborate with other Executive Assistants to share best practices, provide backup coverage, and coordinate cross-functional tasks with HR and support departments to drive process improvements.Who You AreYou bring at least 5 years of experience in an administrative or professional support role within a large corporate or financial institution environment. Your background equips you to navigate complex issues, manage conflicting priorities, and understand the professionalism required to excel in a fast-paced setting.
