They own and manage retail, residential, office, industrial properties. Your new role As an Executive Assistant, you will be working out of an office based in Mississauga, ON. You will be providing both operational and administrative support to 1 President and 1 VP. The role requires the EA to support the daily operation, planning and scheduling, showcasing an ability to be proactive about the needs of the people they are supporting. This role ensures the efficient, timely, and professional coordination and execution of a variety of administrative tasks and activities, enabling the executives to focus on their strategic priorities and business objectives. Key Responsibilities Executive Support Manage a complex and dynamic calendar, including business meetings, legal commitments, travel, and priority deadlines. Serve as the primary point of contact for the executivescreening and triaging emails, calls, and requests with strong judgment. Prepare correspondence, briefing materials, agendas, and presentation support. Coordinate logistics for internal and external meetings. Track action items, follow-ups, and deliverables to ensure execution across competing priorities. Legal & Corporate Affairs Support Provide administrative coordination for legal and governance-related matters, including document handling and confidential correspondence. Support organization of legal files, contracts, and sensitive records in alignment with internal protocols. Liaise with internal departments and external advisors to facilitate timely information flow. Personal Assistance Support select personal matters with professionalism and discretion (appointments, travel arrangements, special events, confidential coordination). Coordinate with external service providers as required (household, professional services etc.). Maintain strict confidentiality over all personal information. Administrative & Operational Excellence Maintain highly organized digital and physical filing systems. Support special projects requiring cross-functional coordination. Act as a liaison between the executive and internal teams to streamline communication and decision-making. Confidentiality & Judgment Handle sensitive business and personal information with the highest level of integrity and discretion. Exercise sound judgment in prioritizing matters, escalating issues appropriately, and protecting executive time and privacy. What youll need to succeed 5+ years of experience supporting a senior executive, legal executive, or member of an executive leadership team. Proven track record of handling highly confidential information with discretion. Exceptional organizational, prioritization, and time-management skills. Strong written and verbal communication skills. High level of professionalism, polish, and sound judgment. Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint). Comfort operating in a blended executive and personal support role.
