Job Summary The Finance Manager, Athletics & Recreation Operations manages and oversees routine financial operations for the Department. The role provides financial controllership, ensures timely, complete, and accurate monthly, quarterly and annual reporting, and handles finance and periodend close in key areas such as awards, gifts, GPO funding and student fees. The manager works closely with department managers on controls, budgeting, variance analysis, and financial performance assessment, and leads a team of finance professionals. Organizational Status The Department of Athletics and Recreation is part of the Vice President Students portfolio. It manages an annual operating budget exceeding $40million, oversees assets over $250million, and has endowments exceeding $20million. The department serves approximately 150 fulltime staff and 1,000+ parttime staff across 35 operating units, including business operations, facilities, recreation, varsity sport and administrative units. Work Performed Operational finance, accounting and reporting for Athletics and Recreation. Oversee daytoday finance operations, supervise finance staff, and report periodclose results to the Director. Ensure accurate and timely entry of transactions for periodic reporting. Design, develop, and implement policies and procedures for operational accounting. Develop strategic plans for the finance team and oversee their implementation. Monitor financial effectiveness and efficiency of units, resolve issues with executive leadership. Implement new operational financial processes, internal controls and system integration. Provide strategic financial advice on budgeting, forecasting, and financial review. Lead budgeting for recreation, facilities and revenuegenerating units; collaborate on draft budgets. Develop sustainable operating financial models for nonvarsity units. Perform profitability analysis of current and future operations. Oversee regular financial reviews, risk management and mitigation. Streamline finance processes and implement new policies and procedures. Deliver financial training across the department. Manage travel booking and support for the departments teams and staff. Oversee payroll for ~1,000 parttime staff, ensuring accuracy and timeliness. Handle indirect tax matters for recreation, facilities and revenuegenerating units. Develop operational financial forecasts and guide managers in assumptions. Lead regular financial reconciliations and ensure balance sheet accounts are accurately recorded. Manage yearend working papers, audit documentation and annual balance sheet reporting. Coordinate month, quarter and yearend close processes with the Finance Manager, Varsity. Determine required accruals and adjustments for periodend closing. Authorize a wide variety of expenditures, including invoices, expenses and VISA transactions. Oversee accounts receivable, invoicing, receivable reconciliation and uncollectible provisions. Act as a key Workday resource; communicate finance updates departmentwide. Maintain financial SharePoint and information sites; communicate policy changes. Recommend changes to operational data models for new activities, programs and projects. Ensure compliance with university financial policies and GAAP. Perform other duties as assigned by the Director. Consequence of Error/Judgement High attention to detail is required. Errors can affect the departments financial health, lead to financial losses, and expose the department to liability. Inaccurate reporting may damage reputation and lead to improper resource allocation. Supervision Received The role reports to the Director of Finance, Athletics and Recreation and operates with significant latitude and independent decision making. Work is reviewed based on goal achievement. Supervision Given Directly supervises at least two clerical staff and indirectly oversees finance work of two additional staff. May supervise additional temporary staff. Minimum Qualifications Undergraduate degree in a relevant discipline; completion of CPA program (CA, CGA or CMA); minimum five years related experience or equivalent education and experience. Preferred Qualifications Strong understanding of accounting principles, audit, budgeting and financial planning. Experience overseeing an operational financial unit and recording complex processes. Complex financial analysis and effective communication of results. Three to five years of management experience. Ability to work independently and in a team. Application of GAAP and financial best practices. Strong analytical skills and succinct presentation of recommendations. Ability to identify and communicate consequences of financial errors. Knowledge of developing and implementing financial processes. Advanced Excel skills, including complex formulas and data aggregation. Experience developing financial presentations and training. Ability to meet tight timelines and work under pressure. Strong prioritization and task assignment skills. Exceptional attention to detail. Strong verbal and written communication skills. Judgment, tact, confidentiality and discretion in sensitive matters. Effective internal and external relationship building. Additional Assets Experience in not-for-profit or higher education.
