Job Overview Reporting to the Director of Human Resources, the Payroll & Benefits Specialist is an individual contributor who brings financial acumen, analytical strength, and energy to payroll and benefits operations. Youll own the numbers behind our people, ensure accuracy and compliance, and turn payroll data into insight that helps the business make better decisions. As part of the Human Resources team, this role embraces a true team-player mentality. This role is offered as a fixed-term maternity leave contract and is intended to cover the duration of the incumbent employees leave with high possibility of becoming permanent. Key Responsibilities Payroll Ownership & Financial Integrity Own end-to-end bi-weekly Canadian payroll processing and provide senior-level oversight of U.S. payroll administration. Apply strong accounting discipline to payroll processes, ensuring clean reconciliations, audit-ready documentation, and strong internal controls. Act as the escalation point for complex payroll issues, adjustments, and compliance questions. Maintain exceptional data integrity across multiple legal entities, cost centres, and systems. Payroll Analytics, Reporting & Insight Lead payroll reconciliations, variance analysis, and balancing for each payroll cycle. Prepare clear, insightful payroll and labour-costing reports supporting month-end, quarter-end, and year-end close. Analyze trends in earnings, overtime, benefits costs, and headcountidentifying patterns, risks, and opportunities. Translate payroll data into meaningful insights that support informed decision-making. Benefits & Disability Program Leadership Oversight of employee benefits programs, acting as the primary liaison with providers. Administer and manage the short-term disability program with precision, empathy, and confidence. Ensure benefit data aligns seamlessly across payroll, HRIS, and accounting systems. Support benefit renewals and plan changes through data-driven analysis and clear communication. Systems, Controls & Process Improvement Strengthen payroll, time & attendance, and benefits systems to improve accuracy, efficiency, and scalability. Identify opportunities for automation, standardization, and improved internal controls. Workers Compensation & Statutory Reporting Lead Workers Compensation reporting and reconciliations across multiple WCB accounts. Ensure accurate employee classifications, premium calculations, and quarterly and annual reconciliations. Oversee ROEs, T4s, PIER reviews, and all statutory payroll filings. Advisory Support & Collaboration Serve as a trusted advisor to managers and employees on payroll, benefits, and disability-related matters. Respond to employment verifications, legal requests, garnishments, and external inquiries with discretion and professionalism. Build strong working relationships across the organization. Skills and Qualifications 3-4 years of progressive payroll experience, ideally complemented by an accounting or finance, human resources background. Strong understanding of how payroll impacts financial statements, labour costing, and organizational reporting. Proven experience administering employee benefits and short-term disability programs. Post-secondary education in accounting, finance, payroll, or a related field. Advanced payroll reporting and analytics experience across multiple cost centres. Experience with payroll and HRIS systems; ADP Workforce Now is strongly considered an asset. Advanced Excel skills and comfort working with large, complex data sets. Exceptionally detail-oriented with a natural curiosity for trends, patterns, and root causes. Self-directed, collaborative, and motivated by ownership, impact, and continuous improvement.
