THERE WILL BE A SKILLS ASSESSMENT COMPONENT TO THE INTERVIEW PROCESS Position Summary: Under the direction of the Executive Vice President, the Registration & Hospitality Manager will be responsible for managing the end-to-end registration, housing, and travel processes for various concurrent client accounts. This role is hands-on, customer-facing and incredibly detail-oriented. The ideal candidate has a passion for excellent customer service, story-telling through data and reporting, and an eagle eye for detail. This individual will also be supporting the team with general event and administrative functions, so a love and/or interest in event planning (or a strong desire to learn) is a must! This role will require occasional domestic and international travel, mostly within Canada and the United States. Job Responsibilities: Supporting the strategic design and development of registration systems for various clients, including goal setting, registration flow, user experience & design, testing, reporting, and onsite management and execution Creation of registration project plans and timelines in collaboration with the client and LOMA team Ongoing and timely management of the registration support hotlines, both via phone and email, to assist event attendees with all inquiries Facilitating attendee courtesy calls to ensure event details are communicated Support the research, evaluation and procurement of any required registration vendors for items such as name badges, lanyards, onsite check-in, etc. Leading post-event attendance reconciliation and the creation of post-event surveys, data analysis/reconciliation and summary/debrief reports Assisting with the scheduling, note-taking, and note distribution for client planning meetings as required Using Microsoft Office products and Google Docs to create templates, planning & tracking documents, reconciliation documents and summaries Creation and maintenance of reporting documents and tools, ensuring accuracy and quality of all data Leading onsite registration management and execution including set-up & tear-down and management of registration staff Liaising with hotel properties to manage room blocks and pick-up Management of hotel and travel arrangements for attendees, as required Assist with reconciliation of financials and budgeting, as required Additional administrative duties such as: o Answering and directing phone calls o General event and office support About You: A proactive st rong team player ready to roll up your sleeves Excellent interpersonal, verbal and written communication and customer service skills Strong work ethic and a dedication to exceeding client and guest expectations A passion and pride for what you do that shows up in every element of your work from a customer service email to planning an onsite registration flow Extremely organized with a meticulous attention to detail Able to stay focused and prioritize while managing multiple time-sensitive priorities Creative and resourceful never satisfied with the status quo and always looking for ways to improve existing processes and procedures Strong reporting skills with a strategic ability to tell stories and highlight trends through data Strong internet & computer processing skills including Microsoft Office suite & Google Docs Extensive experience with Microsoft Excel is a MUST Comfortable with learning new technologies Able to work in a fast-paced, agile and mission-driven organization Passion for the event marketing industry or a thirst to dive in and become a subject matter expert Able to work flexible hours, including evenings and weekends when required Able to travel within Canada and the United States Qualifications: Minimum of three (3) years of experience with event planning (specifically in registration functions), administrative support, hospitality and/or customer service University degree and/or college diploma in events, marketing, hospitality, administration or a related field Deep understanding of event software functionality (ex. Swoogo, Bizzabo, Cvent, Eventbrite, etc.) Familiarity with Passkey and housing management systems/room blocks as well as a general understanding of travel booking software and engines Valid drivers license and passport Physical Demands, including environment: While performing the duties of this job the employee is occasionally required to stand, walk, sit, climb stairs, balance, stoop or kneel Some of the work of this position may be performed outdoors in varying climate conditions May be required to lift and/or move up to 25 pounds Target Start Date : April 6, 2026 Compensation: Commensurate with experience.
