Monday to Friday. Occasional overtime may be required in the evenings and weekends based on project needs. This position requires travel to various sites based on operational needs. JOB SUMMARY Under the direction of the designated manager, the Senior Project Coordinator is responsible for the effective and successful delivery of major construction, renovation and rehabilitation of library facility capital projects. DUTIES Independently lead projects from inception to completion, meeting the project goal including project budget and schedule, with guidance from the Senior Manager. Lead a team of contractors and consultants to effectively implement construction projects, major renovations, rehabilitation and alterations to library facilities in accordance with the Librarys policies and standards. Review and interpret drawings, specification, reports, contracts and necessary documents as part of the due diligence process. Provide input during the planning phase to establish project schedule and budgets. Lead and collaborate with consultants and other third parties to obtain necessary permits and approvals. Prepare formal Purchasing Request documentation such as: Request for Quotation (RFQ), Request for Proposal (RFP), Issued for Tender (IFT) in collaboration with TPLs Purchasing team to hire external vendors. Evaluate proposals, quotations, and bids and make recommendations for award of contracts. Coordinate and ensure proper maintenance of all documentation in accordance with the departments requirements, including all correspondence from consultants, inspectors, contractors and other vendors. Review contract administration documents and facilitate dialogue of costs and claims. Review invoices and recommend payments to the Senior Manager promptly to comply with the Construction Act. Prepare detailed reports, monitor schedules and maintain accurate records of development and budgets on all assigned projects, initiate correction of deficiencies and warranty items. Attend regular on-site meetings. Maintain effective working relations with other team members, contractors, consultants, and stakeholders. Provide excellent customer service to both external and internal clients. Travel to other branches is to be expected on a daily basis as required Perform other duties as assigned. QUALIFICATIONS A degree in architecture, engineering, or related field from a recognized post-secondary institution. A minimum of 10 (ten) years experience and demonstrated knowledge of all aspects of institutional projects including planning, design, permits and approval, construction, contract administration, close-out, and project management, including stakeholder management. Proven experience to successfully complete large-scale and complex projects over $10 million, from inception to completion, by delivering the work on-time and on-budget, with thorough knowledge of all aspects and phases of a project. Leadership experience within a team with the ability to function as a resource person for other team members providing training as required. Experience leading a project team of consultants, contractors, and other vendors Proven track record in building effective teamwork and communication, leading stakeholder expectations, and delivering high standards of work quality. Proven experience to obtain permits and approvals with the City of Toronto, including thorough knowledge of the application process for site plan approval, building permits and other permits and approvals as necessary. Experience with public sector procurement, including writing and editing Request for Quotations (RFQ), Request for Proposals (RFP), and Issued for Construction Tender (IFT) documents in collaboration with TPLs purchasing team. Knowledge of Construction Act, Lien, Prompt Payment, CCDC contracts. Understanding of cost accounting, facility construction cost estimating and value engineering Working knowledge of project software including Microsoft Suite and Smart Sheet. Excellent oral and written communication, interpersonal and presentation skills. A valid Ontario Driver's Licence Class G, and use of a personal vehicle for site visits is required. Ability to establish and maintain cooperative working relationships with the project team, internal and external stakeholders.
