The Events Administrator plays a key role in ensuring that event planning activities remain organized, on schedule, and well documented. Working closely with internal teams, vendors, speakers, and volunteers, the position helps maintain operational efficiency and a high-quality experience for attendees. The Events Administrator provides administrative and logistical support for a diverse portfolio of conferences, regional summits, seminars, workshops, and volunteer-led events held across multiple regions. Responsibilities include maintaining event planning documentation such as timelines, critical paths, trackers, and calendars, as well as coordinating logistics with venues, vendors, speakers, and internal stakeholders under the direction of the Events leadership team. This role also manages key operational components of event execution, including opening and monitoring event registrations through event management and CRM platforms, tracking attendance, responding to attendee inquiries, and preparing event documentation such as agendas, briefing notes, and logistics materials. The Events Administrator coordinates planning meetings, tracks action items and follow-ups, manages event-related documentation in shared systems, and assists with the production, shipping, and tracking of event materials across regions. Following each event, the role supports post-event reporting by compiling attendance summaries, survey results, and basic analytics. The position may also provide on-site event and registration support as required and assist with tracking vendor invoices against event budgets. In addition to event administration, the role supports member and stakeholder engagement by responding to event-related inquiries, assisting with communications, and helping ensure a professional and positive experience for members, sponsors, and attendees. The position operates in a fast-paced environment and supports the coordination of approximately 50130 events annually . What You Bring to the Job You are a detail-oriented, service-driven events professional who thrives in a fast-paced environment and can manage multiple priorities while maintaining professionalism and accuracy. Post-secondary education in event management, hospitality, marketing, communications, or a related field, or an equivalent combination of education and experience. Approximately 13 years of experience supporting conferences, meetings, or corporate events. Demonstrated ability to assist with the coordination of in-person, virtual, and hybrid events. Strong organizational skills with the ability to manage multiple timelines, priorities, and administrative tasks simultaneously. Experience maintaining event planning documentation such as timelines, trackers, calendars, and planning materials. Ability to support event registration processes using event management platforms or CRM systems. Experience coordinating logistics with venues, vendors, speakers, volunteers, and internal stakeholders. Confidence responding to attendee inquiries and providing professional, timely support related to events and registration. Ability to prepare event documentation including agendas, briefing materials, and logistics notes. Strong attention to detail and commitment to producing accurate, well-organized work. Ability to track event attendance, assist with post-event reporting, and compile participation and survey data. Experience organizing and maintaining documentation, contracts, and records in shared systems such as SharePoint. Comfort supporting the preparation and shipment of event materials across multiple locations. Experience assisting with invoice tracking and reconciling event-related expenses against budgets. Strong written and verbal communication skills with the ability to interact professionally with internal and external stakeholders. Collaborative mindset with the ability to contribute effectively as part of a team while managing individual responsibilities. Intermediate proficiency with Microsoft Office tools including Excel, Word, PowerPoint, Outlook, and collaboration platforms. Experience working with project management tools or event tracking systems such as Monday.com or similar platforms is considered an asset. Ability to work effectively in a fast-paced, deadline-driven environment with a high volume of concurrent activities. Willingness to provide occasional on-site support during events and represent the organization in a professional manner.
