Medical Affairs engages with, and secures the services of, Medical Staff to ensure their delivery of client and family centered medical care, while also facilitating enhanced collaboration between Medical Staff and those health care professionals employed by PHC. We are seeking a Lead, Medical Affairs & Medical Staff Services, who will report to the Executive Director, and will be an integral part of the Medical Affairs team, ensuring efficient and effective management of Medical Staff extender services at PHC. The Lead: - Provides operational support to the Executive Director, Medical Affairs and senior Medical Staff leaders across PHC; - Manages a team of administrative support staff who support PHCs Department and Division Heads; - Coordinates recruitment activities for clinical and leadership Medical Staff positions and physician extender programs (Associate Physicians and Resident Doctors); - Collaborates with a diverse group of key partners, including operational and medical leaders, professional associations, provincial health care partners and the Ministry of Health. What You Bring Education, Training and Experience: A level of education, training and experience equivalent to a bachelors degree in a related discipline such as Health Care Administration, Business Administration, Human Resources or other relevant discipline, plus a minimum of Five (5) years recent experience in a senior administrative position within health care preferably in a large organization or institution involving human resource and/or recruitment or related knowledge, and experience/knowledge of the complexities of physician relations and administration. Your Day to Day: - Provides supervision and oversight to approximately twenty (20) administrative support staff (including unionized members) who support the Departments and Divisions under Medical Affairs. Provides leadership and guidance to the Department and Division Heads regarding the effective deployment of administrative support staff. Coaches/mentors administrative support staff to facilitate administrative skill development and efficient achievement of Department and Division objectives with adherence to PHC policies and procedures. Responsible for performance management functions, including addressing performance/disciplinary issues up to and including termination. Establishes clear definitions of responsibility, develops and/or reviews annual goals and objectives that are consistent with the strategic objectives of the Departments and the wider PHC Mission, Vision and Values, and strategic direction. Where applicable, oversees adherence to union employee management policies and processes and assists Human Resources with essential services designation planning affecting designated unionized staff reports. - Coordinates the end-to-end recruitment process including, interviews, hiring and onboarding of administrative support staff, leading applicant interviews. With the support of the Executive Director, Medical Affairs and/or other partners, makes selection recommendations and/or decisions. - Provides support to and coordination of Medical Staff and Associate Physician (AP) recruitment promotion activities, liaising with Department and Division Heads to track position postings and recruitment completion. Develops recruitment reference materials focused on the Medical Staff work experience at PHC and provincially. Supports internal Medical Staff immigration processes. Represents PHC at Provincial meetings and committees focused on Medical Staff recruitment. - Supports the Executive Director, Medical Affairs, medical/operations leadership and individual physicians by serving as internal consultant for information, interpretation, navigation, troubleshooting, and decision-making support related to PHC and BC Ministry of Healths policies, and PHC People Services (Physician recruitment and Compensation, Finance, Business Planning, Human Resources)programs and processes that together form the framework for Medical Staff administration. - Coordinates with Medical Staff Leaders on behalf of the Executive Director, Medical Affairs regarding the development of Associate Physician programs and supporting submissions for accreditation and reaccreditation. Facilitates the maintenance of records related to Associate Physicians, including required evaluations and CME. Responsible for the College of Physicians and Surgeons of BC and BC Ministry of Healths reporting regarding PHCs Associate Physician Programs. Attends provincial meetings concerning the Associate Physician Community of Practice and makes recommendations to the Executive Director, Medical Affairs regarding program development and revision. - Supports the Medical Director, Medical Education in implementing programmatic and operational initiatives arising from the Resident Doctor Collective Agreement and provincial committees established to align Resident Doctor deployment. Attends provincial meetings concerning coordination and alignment of Resident Doctor initiatives. Facilitates essential services designation planning for Resident Doctors. - Ensures administrative support staff are effectively trained and related training manuals are provided, outlining Departmental/Divisional expectations. Ensures consistent understanding of Department and PHC policies and procedures are applied and followed. Reviews and ensures administrative assistant manuals are updated and standardized as much as possible, to provide business continuity and orientation/training requirements for the various areas. - Supports Medical Affairs Leadership team to ensure the vision, goals, and strategic objectives for Medical Staff Services are aligned with those of the organization. - Performs other related duties as assigned.
