Job Description

The Saskatchewan Medical Association is a voluntary professional association for physicians in Saskatchewan, where over 90 per cent of physicians are members. The SMA also represents the vast majority of medical students and residents training in Saskatchewan. We represent the collective view of the medical profession in Saskatchewan and negotiate for and on behalf of fee-for-service, salaried and alternate payment physicians. We have an exciting opportunity for a full-time, permanent Executive Assistant, Legal to join our growing team! This senior-level administrative positionprovideshigh-quality,timelyandconfidential administrativeand executivesupport toGeneral Counsel. This position willrepresentGeneral Counselin interactions with staff, members, and external stakeholders, including servingas the primary point of contact for arranging meetings and organizing calendars,andreceiving, preparing, and filing confidential communications.This position will also manage theSMAs resolutions process, ensuring that the process istimelyand transparent. This position is based on-site at our office in Saskatoon, SK, with a voluntary hybrid work option allowing remote work from home up to 2 out of 5 days per week subject to approval under our Hybrid Work Arrangement policy. Key responsibilities include: Administrative Support toGeneral Counsel Provides high quality, senior-level administrativeand executivesupport toGeneral Counsel, balancing a demanding workload and exercising mature judgement and discretion in handling confidential and sensitive information. ManagesGeneral Counsels work calendar/schedule and meeting requests and prioritizes action items in order of urgency and importance. Ensures all changes aretimely, seamlessly integrated and communicated. Acts asGeneral Counsels representative inreviewing correspondence andinitiatingaction where possible,interpreting and communicating requests and feedback to others,andmaintainingexcellent rapport with all staff, SMA members, and external stakeholders. Prepares and/or coordinates high quality presentations, reports, letters, and documents. Assistsin preparation,editingand formatting of legal documents including contractsandpolicies. Organizeslegal files, both physical and digital, ensuring confidentiality and compliance with retention policies. Assistswith legal and other research as necessary, including the preparation of summaries or briefing notes. Assists General Counsel in their role as Privacy Officer, including confidential drafting and filing of reports. Providesadministrative support tothe Legislation and Policy Committee and Resolutions Committee,includingbooking meetings,agenda preparation, assembling all relevant documents, completing notes of meetings,identifyingfollow-up actions,etc. Liaises with Ministry of Health,Saskatchewan Health Authority, and College of Physicians and Surgeons of Saskatchewanrepresentatives. Manages all aspects of travel arrangements and proactivelyassistswith changes. Performs other duties as assigned by General Counsel. Resolutions Manages the resolutions process from receipt of a resolution to closing, including corresponding with the mover and seconder, recording Representative Assembly and Board directions, following up on requests with staff, committees, and external stakeholders, and tracking progress in the resolutions database. Reviews and prepares correspondence relating to resolutions. Prepares reports on the progress of resolutions for the Senior Leadership Team, Board, and Representative Assembly. Participates as a Representative Assembly planning team member and undertakes duties as assigned. Qualifications: A University degree and/or college diploma with a minimum oftenyears of experience in a senior administrative role, supporting senior leadership OR an equivalent combination of experience and education. Experience supporting a legal and/or governance role is an asset. Experience in health care and/oramember association is an asset. $64.093- $86,714 per annum commensurate with experience.
