Program Lead - Board of Directors (Elected) Position Description Position: Program Lead (Elected) - Board of Directors Location : Stanley Park Community - 505 Franklin Street N. Kitchener, Ontario Purpose of Position: To manage the Program Committee and oversee the development and coordination of all recreation programs offered by the Stanley Park Community Association Duties and Responsibilities: Manage all recreational programs and, through good communication, provide leadership to SPCA program coordinators Fill in for any vacant program coordinators under your direct supervision As a Committee Lead, lead the Program Committee to develop and implement programs for the following sessions: Fall Session September-December Winter Session January - March Spring Session April - June Summer Session July - August Arrange and chair Program Committee meetings (approx. one per month, except August) with coordinators Confer with City staff regarding booking space for meetings and ensuring they are invited to all Program Committee meetings. Annually determine the timeline and critical path for the coming year with City staff Invite the SPCA Secretary to take minutes, or ask a Committee member to take and distribute minutes Once a year, prepare a monthly calendar outlining all program-related meetings and activities After each session registration, work with the Program Manager and coordinators to: Cancel classes with insufficient enrolment, ensuring instructors and assistants are informed and refunds are properly issued Review the waitlist and increase class numbers when possible. Work closely with the Program Manager and Program Administrator to recruit additional staff, if necessary Advise the Publicity Lead/Social Media Coordinator if advertising is needed for new programs or programs with low registration numbers Work with the Publicity Committee each session to review the Program Guide Plan and implement Program Orientation for instructors prior to the fall session and throughout the year as needed. Communicate with City Staff, Program Manager and Coordinators to support instructor/participant issues Assist Program Manager and coordinators with problem solving program-related issues Provide ongoing training to program coordinators/assistants to ensure volunteers are knowledgeable about their responsibilities Arrange for participant evaluations of SPCA programs and keep the Program Manager advised of any instructor or assistant concerns Advise the Program Manager and Program Administrator of any instructor and assistant concerns so they can recruit and hire accordingly In May, attend Instructor Wage meetings (led by President) and provide input on the following year's instructor wages Prepare a monthly Board of Directors report Support Program Manager to prepare program budgets and monitor monthly variances Bring any requests for larger expenses, supplies, or equipment that is requested by the Program Committee to the SPCA Board for a discussion and decision Submit all receipts to the Treasurer for reimbursement in a timely manner If stepping away from the Program Lead position, orient the new Program Lead of duties and responsibilities to create a seamless transition High - Position has access to financial and confidential information and for ensuring the health and safety of volunteers and participants Time Commitment: Attend monthly Board meetings (third Tuesday of the month from 7-9 pm) Attend and chair monthly program meetings (second Tuesday of the month) Eight (8) hours a session to conduct meetings with coordinators Five (5) hours a session to help with and attend Orientation meetings, monitor registration numbers, and follow up with coordinators Twenty (20) or more hours a session for record keeping, problem solving, and attending to other duties as required Qualifications: Experience in supervision is an asset Experience in administration procedures is an asset Experience in recreation and leisure programming is an asset A desire to serve the community in an important function A team player and leader, willing to take responsibility, and lead a team of volunteers Excellent organizational and communication skills Training and Professional Development: Basic Health and Safety, AODA, Facility Tour, and evacuation training provided Training and orientation will be provided by the Volunteer Engagement Coordinator or outgoing Program Lead (if possible) within 8 weeks of acceptance of the position Supervision and Accountability: Ongoing weekly check-ins to monitor position tasks Formal supervision will occur every three months, or sooner if requested Excellent experience in supervising and leading a team of committed volunteers An excellent way to meet and work with others, while contributing to your community Opportunities to attend workshops, meetings, and other training sessions pertaining to the position Special training if required and approved by the Board of Directors Invitation to two annual appreciation socials Two free programs for yourself or immediate family member, per session Three references checked (minimum two professional) For More Information Contact the Stanley Park Community Association #J-18808-Ljbffr
