Role Description We areseekinga highly organized and proactive Office Administrator and IT Support to support daily operations and program delivery. This role ensures the smooth functioning of office administration, inventory management, digital systems, and operational coordination. Office Operations Manage day-to-day office administration and ensure smooth operational functioning. Serve as the first point of contact for phone, email, and in-person inquiries. Maintain professional office standards and a welcoming environment. Organize andmaintainphysical and digital records and documentation. Coordinate office maintenance, service providers, and operational communications. Oversee office supplies, equipment, and vendor relationships. Maintain kitchen andcommon areasto ensure cleanliness and organization. Provide administrative support to internal team members. Support urgent operational errands andlogisticswhenrequired. Inventory & Equipment Management Track, store, and distribute office and program supplies. Maintainaccurateinventory records and stock levels. Conduct regular inventory audits and reconciliations. Manage inspection, condition tracking, and storage of program equipment. Implement andmaintainFIFO inventory management processes. Prepare materials and shipments for program delivery. Coordinate equipmentlogisticsfor workshops and program sessions. Human Resources Support Assistwith onboarding and offboarding processes. Maintain confidential employee records and documentation. Ensure HR documentation aligns with company policies and compliance requirements. Assistwith preparation of employment documentation as needed. Program & Project Support Support the Project Coordinator with programlogisticsand materials preparation. Prepare and print program certificates and documentation. Assistwith organizing and documenting meeting minutes. Provide administrative support during program delivery and workshops. Digital Systems & Operational Support Maintaindigital infrastructure supporting in-person, hybrid, and virtual programs. Ensure Microsoft Teams channels and SharePoint librariesremainorganized. Support Smartsheet sheets, dashboards, and operational workflows. Conduct system audits to ensure data accuracy and consistency. Maintain standardized naming conventions and document management processes. Technical & IT Support Provide first-level troubleshooting support for Teams, SharePoint, and Smartsheet. Assistwith virtual session setup and facilitator technical readiness. Resolve user access and permission issues. Coordinate with external IT providers for advanced technical support. Marketing & Program Recruitment Support Coordinate with marketing teams to align recruitment with program timelines. Track enrollment numbers andmonitorprogram capacity. Assistin social media promotion and recruitment activities. Support Canva-based marketing materials and program communications.
