Role Description We are seeking a detail-oriented Operations & Accounting Coordinator to support our financial and operational processes. This role is responsible for daily bookkeeping in QuickBooks, accounts receivable and payable, bank and account reconciliations, invoicing, and payment processing, while also assisting with ingredient and supply ordering, coordinating logistics and deliveries, and general administrative support. The ideal candidate has a strong accounting background, excellent organizational skills, and the ability to manage multiple responsibilities in a fast-paced manufacturing environment. Key Responsibilities Perform daily bookkeeping and maintain accurate financial records using QuickBooks Record financial transactions, including sales, expenses, and supplier payments Reconcile bank accounts, credit card statements, and vendor accounts in QuickBooks Prepare and issue customer invoices and ensure accurate billing Monitor accounts receivable and follow up on outstanding payments Process and record incoming payments (EFT, cheque, credit card, etc.) Maintain organized financial documentation and records Assist with monthly financial reporting and account reconciliation Prepare financial records and reports for external accountants during month-end and year-end closing Purchasing & Supply Coordination Manage ingredient and packaging supply ordering based on inventory levels Communicate with suppliers to place orders and confirm pricing and availability Track purchase orders and ensure timely delivery of materials Maintain organized records of supplier invoices and purchase documentation Logistics & Supply Coordinate and book deliveries and freight shipments with logistics providers Prepare shipping documentation and invoices for orders Track shipments and communicate with carriers regarding delivery status Work with internal teams to ensure orders are shipped on time Administration Support Maintain organized records of invoices, purchase orders, shipping documents, and payments Support internal administrative processes and documentation Communicate with suppliers, customers, and logistics partners regarding orders and payments Assist management with operational and financial tasks when required Qualifications Degree or diploma in Accounting, Finance, or Business Administration Experience using QuickBooks and Excel for bookkeeping and financial recordkeeping 2-3+ years of bookkeeping, accounting, or financial administration experience preferred Strong understanding of account reconciliation, accounts payable, and accounts receivable High attention to detail and strong organizational skills Ability to manage multiple responsibilities in a fast-paced environment Strong communication and problem-solving abilities Available to start immediately or within 1 week.
