Job Description

Role Summary _ Admin Assistant This role supports smooth daily business operations and strong engagement with business members. The Coordinator provides administrative support, manages event logistics, maintains databases, and improves workflow efficiency. The Coordinator also acts as the first point of contact for current and prospective member organizations, answers initial inquiries, and directs requests to the appropriate internal resources. Key Responsibilities Operations Support to Business Members Serve as the primary point of contact for Members. Respond to general inquiries related to billing, platform access, training programs, service offerings, and general participation. Troubleshoot issues related to account access, platform functionality, payments, and program participation. Escalate complex issues to internal teams such as Finance, Engagement, or Program teams. Track issues through resolution. Maintain accurate data across internal databases and systems. Event Coordination Coordinate event logistics including venue, audiovisual setup, and catering. Monitor event registrations and provide status updates. Manage online event setup and operations using Zoom. Coordinate and book staff travel when required. Organize internal meetings and staff events. Additional Support Provide basic troubleshooting support for Windows laptops. Support troubleshooting for common software tools. Compile and organize data sets for research and reporting. Track and order office inventory and supplies. Complete additional operational tasks as required. Finance Support invoicing and accounts receivable collection. Assist with monthly corporate credit card reconciliation. Assist with employee expense reimbursement processing. Support financial reporting related to grants or external funding. Experience Requirements Experience 3 to 5 years of experience in an administrative support or coordinator role. Technical Skills Software Intermediate Microsoft Office or Google Workspace skills. Experience with Asana, Zoom administration, Salesforce, Zapier, or QuickBooks considered an asset. Experience training internal staff on software tools considered an asset. Hardware Basic technology setup and support experience considered an asset. Soft Skills Strong attention to detail. Proactive approach to problem solving. Strong organizational skills. Effective time management. Strong written and verbal communication skills.
