Sports Coordinator, Events and Data Management Position: Sports Coordinator, Events and Data Management Reports to: Director, Competitions Location: Edmonton, Alberta Job Type: Temporary Full-Time Summer Student Employment Start Date: May 4, 2026 (flexibility depending on successful candidate) ABOUT SWIM ALBERTA As the provincial governing body for competitive swimming in Alberta, Swim Albertas role is to govern, lead, and support Albertas competitive swimming community. Our vision: Inspire our swimming community to achieve its potential. Our mission: Make competitive swimming possible. Our umbrella of supervision includes clubs and swimmers registered with Swimming Canada (year-round) and the Alberta Summer Swimming Association (ASSA), equaling a total of 11,000 members across competitive, pre-competitive and masters swimming. ABOUT THE POSITION This summer student role directly relates to the mission of Swim Alberta through the management and support of events and data management which includes the two All-Star Teams, Results Management, Registration System, Event Sanctioning, Records Management, and Provincial Competition Management. QUALIFICATIONS Enrolled in post-secondary education. A background in competitive swimming (athlete, coach, official, volunteer) considered an asset. Proficiency in the Microsoft Suite Applications (Word, Excel, PowerPoint, SharePoint, One Drive). SKILL SETS AND ATTRIBUTES Ability to manage multiple projects simultaneously and work collaboratively with others toward common goals. For example, all Swim Alberta staff will need to collaborate to ensure a shared understanding of the registration system (REMS) to be successful. Communication the ability to receive understand, consider, and share information and ideas through speaking, listening, and interacting with others. For example, communication skills will be needed when sending the All Star Teams information and replying to questions. Creativity and Innovation the ability to imagine, develop, express, encourage, and apply ideas in ways that are novel, unexpected, or challenge existing methods and norms. For example, we may use this skill to develop solutions for the publishing of weekly regional rankings. Digital Skills the ability to use digital technology and tools to find, manage, apply, create, and share information and content. For example, digital skills can expedite the updating and development of provincial time standards. Numeracy the ability to find, understand, use, and report mathematical information presented through words, numbers, symbols, and graphics. For example, numeracy can help flag potential issues and solutions when analyzing time standards, results, and nominations to All Star Teams. Problem-solving the ability to identify, analyze, propose solutions, and make decisions. Problem solving helps to address issues, monitor success, and learn from the experience. For example, this skill will be valuable when Swim Alberta deploying the addition of a second All Star Team for the 2025 season. PRIMARY RESPONSIBILITIES All Star Team Coordinator Update Selection Criteria, Registration Forms and Website Develop and implement communication plan Identify qualifiers for the two All Star Teams (12 and under and 13-17 teams) Inventory and order supplies Collect and review coach applications Attend Summer Provincials as team manager Develop final report and update All Star Team Records Results Management Weekly download of competition results for Alberta summer swimming competitions Publish weekly regional rankings for summer swimming Manage and update record files for summer swimming Lead sanctioning of summer swimming competitions Support summer swimming competition entry process Track post competition invoicing for summer swimming events ASSA Website / Registration System (REMS) Support Provide competition sanctioning and competition entry support for Summer Swimming Clubs learning to use Swimming Canadas new Registration System Records Management Update provincial records database for summer swimming Coordinate communications and distribution of provincial record certificates Data collection, and analysis of time standards Data collection, and analysis of competition results Development and updating of provincial time standards Provide competition entry support Review of Alberta Aquatic Facility Infrastructure Communication of an aquatic facility survey Coordination with other aquatic partners Data collection, and analysis of information collected WORKING CONDITIONS This is a full-time summer employment position based in Edmonton. Swim Alberta accepts applicants from across Alberta, however the role is based at Swim Albertas office is located at the Percy Page Centre in Edmonton. This position requires some travel within Alberta as well as some evenings and weekends to support our events. CONTRACT DURATION May 4, 2026 August 21, 2026 (16 weeks). Start date and end date are flexible based on the successful candidate. HOURS OF WORK 35 hours per week; 8:30-4:30 pm, some evening and weekends may be required.
