This position helps ensure the ElevateIP program runs smoothly while providing strong administrative and operational support to participants, applicants, IP advisors, and service providers.______________________________________________________________________________Key ResponsibilitiesProgram CoordinationTrack program projects at every stage of the program lifecycleServe as the primary point of contact for applicants, participants, IP advisors and service providersFacilitate communication between participants and IP advisors, ensuring timely and practical supportOversee ElevateIP portal processes, including implementation, approvals, onboarding, and user supportManage Statements of Work (SOWs), including review for program alignment, approval tracking, contract documentation, and monitoring of project timelines and deliverablesCompare invoices to approved SOWs, support invoice processing and IP application number trackingMaintain organized program documentation for manuals, applications, SOWs, contracts, and reporting materialsApplication & Participant ManagementAssist with applicant cohort management, including organizing evaluation materials, coordinating evaluators, and maintaining cohort tracking documentation.Manage participant communications and follow-ups throughout the program lifecycleProvide guidance to applicants on program requirements and next stepsAssist with identifying and escalating program issues or conflicts when requiredPartner & Stakeholder SupportAssist with the coordination of IP advisor meetings and the administrative management of subcontractor relationshipsMaintain and update the approved service provider listAssist with coordination and communication with program partners and stakeholdersSupport relationship management with IP advisors and service providersProvide operational support for partner meetings and collaborative initiativesBudget & Compliance TrackingAssist with monitoring program budgets and funding allocationsAssist with preparing required program reports and metricsEnsure survey completion and reporting compliance for program participantsMaintain program data and prepare up-to-date statistics and tracking reportsSupport the preparation of documentation required for program audits or funder reviewsProgram Outreach and EventsAssist with the coordination and execution of ElevateIP and North Forge events, workshops, and related communications.Represent ElevateIP and North Forge at industry events, conferences, and networking opportunitiesAssist with North Forge events and administrative supportSupport other North Forge programs, teams and initiatives as required______________________________________________________________________________Qualifications35 years of experience in program coordination, project management, administration, startup ecosystem support or related fieldStrong organizational and time-management skillsExcellent written and verbal communication skillsAbility to manage multiple projects and deadlines simultaneouslyHigh attention to detail and strong documentation skillsSelf-starter with the ability to work independently and in a cross-functional environment.Basic understanding of Intellectual Property (IP) is an asset, but is not requiredExperience working with startups, innovation programs, or funding programs is an assetExperience with CRM systems, project tracking tools, or program portals is an assetAbility to work in a small team environment and demonstrate a collaborative teamwork attitude.Employment DetailsComprehensive health and dental benefits package, including health and lifestyle spending accounts.Free parking is included.This position is not remote.
