We are seeking a Senior Office Manager and Board Administratorwith demonstrated experience supporting senior leadership and a Board of Directors, including preparing board materials, attending meetings, and taking formal meeting minutes. The successful candidate will oversee daily office operations while providing high-level administrative, financial, and governance support.Senior Office Manager and Board Administrator Responsibilities:Executive, Office and Administrative OperationsOversee daily office operations, reception, mail handling, and general administrationCoordinate administrative support for professional staff and senior leadershipMaintain regular communication with senior management on operational mattersSupport HR administration in collaboration with senior leadershipHandle sensitive and confidential information with discretion and professionalismBoard, Governance and Senior Leadership SupportSchedule Board of Directors meetings and prepare agendas, reports, and board packagesAttend board meetings and take accurate, formal meeting minutesPrepare and present financial information for Board review as requiredSupport board- and client-related projects, including invoicing and honorarium distributionBookkeeping and Financial AdministrationProcess accounts payable and receivable, including EFTs, cheques, expense claims, and photo depositsProduce and process bi-monthly payrollPrepare month-end financial statements for senior managementComplete monthly bank reconciliations for multiple related entitiesFollow up on overdue accounts receivable and communicate professionally with clientsLiaise with external accountants to respond to financial inquiriesBanking, Reporting and CompliancePrepare revenue reports and financial summaries for senior managementComplete GST filings on a monthly or quarterly basis depending on the entitySupport federal and provincial tax reporting requirementsAssist with insurance administration and regulatory compliance obligationsAnnual and Strategic ResponsibilitiesPrepare chargeable hours and returns-per-job reports for senior leadershipGather documentation for year-end financial statementsSupport annual salary adjustments, bonus payouts, and share distributionsCoordinate corporate events, meetings, and related logisticsThe successful candidate has:8 to 10 years of senior administrative experience, including direct support to senior leadership and a Board of DirectorsProven experience preparing board materials and taking formal meeting minutesPostsecondary education in administration, accounting, or a related field is an assetStrong business acumen with the ability to interact professionally with executives, board members, clients, and external partnersExperience in a professional services environment such as accounting, legal, advisory, or consulting is strongly preferredAgricultural industry experience is an assetStrong bookkeeping skills with experience using accounting software; BVData or Sage experience is an assetAdvanced proficiency in Microsoft Office, SharePoint, and ExcelExperience processing payroll and managing accounts payable and receivableExceptional organizational skills and strong attention to detailAbility to work independently in a full-time, in-office role located in downtown EdmontonAbility to complete a criminal record check, credit check, and sign a non-disclosure agreementCompensation and benefits:Salary range of $75,000 to $85,000, depending on experienceCandidates with extensive board governance and senior operational experience and higher compensation expectations may be consideredComprehensive benefits packageThree weeks of vacationPaid parkingProfessional development opportunitiesTeam and corporate eventsCandidates must be legally authorized to work in Canada.
