The Associate Sales Coordinator will provide direct support to the Sales Representatives performing a variety of administrative duties. This position requires strong attention to detail, efficient time management capabilities, proactive work ethic, well-developed interpersonal skills with the ability to adapt to support several Sales Representatives, excellent written and oral communication skills, strong computer skills, effective organization skills, flexibility, and reliability. The individual will generally work normal business hours, Monday-Friday 8:00am to 5:00pm, but may occasionally work hours based on Sales Representatives need. The incumbent must practice absolute confidentiality. Good judgment and common sense is required in all duties and any other tasks as assigned. Essential Duties and Responsibilities Safety Complies with all safety policies, procedures and established safe practices. Reports all unsafe conditions and actions to a supervisor and/or the Manager Safety and Health. Monitors the safety practices (including PPE) of all team members and proactively addresses deficits. Maintains a clean and orderly work area and meets other housekeeping needs as required by Sunrock and applicable law. Generating quotes for Market Managers. Responsible for cash sales only. Create and maintain project folders ensuring accurate record keeping. Process and manage submittals. Participates in the customer purchase order review process and retention. Ensures all purchase orders are submitted to the PO committee as soon as received. Participates in customer phone calls or meetings, as required, to work through potential conflicts. Responsible for sending job specification to Quality Control for review. Responsible for bidding calendar updates. Prepare Sales meeting agendas and prepare minutes in sales meetings and bid backlog meetings. Attend Concrete Prepour Meeting when possible. Provide CDC and ISQFT updates. Responsible for managing Sales Departments Records retention program. Learns sales administration key daily functions and acts as a back up to the sales administrators. Serves as a backup to RMC Dispatch or Aggregate Dispatch as needed. Provides relief for the corporate receptionist during absences and daily breaks. Participates in proactive team efforts to achieve departmental and company goals. Provides leadership to others through example and sharing of knowledge/skill. Performs other duties as required. Education and/or Experience High School Diploma or GED required. Other combinations of education and experience may be considered. The office environment will be well-lit, heated, and/or an air-conditioned indoor office/production setting with adequate ventilation. The individual will be occasionally exposed to different types of hazards while walking around customers jobsites. While on customers jobsites or in other field environments the individual will be exposed to outdoor changing conditions. The noise level in the office environment is moderate and in the field environment loud.
