Executive Assistant (on-site)Hourly Rate: $29.58 - $36.97 (Commensurate with Experience)Permanent Full TimeStart Date As soon as possibleWe are seeking a highly organized and professional Executive Assistant (EA) to provide high-level administrative and coordination support to the President and CEO. The Executive Assistant plays a key role in supporting the CEOs strategic priorities by managing day-to-day administrative functions, facilitating effective communication, and strengthening relationships across the organization and with external partners.Key ResponsibilitiesExecutive Support: Manage complex calendars, schedule meetings, coordinate travel, and prepare executives for internal and external engagements.Communication: Draft, edit, and proofread correspondence, presentations, reports, and briefing notes. Serve as a trusted point of contact for executives, staff, board members, and stakeholders.Meeting & Event Coordination: Organize logistics for leadership team sessions, committees, conferences, and special events, including agendas, minutes, and follow-up actions.Information & Document Management: Maintain accurate filing systems, track organizational priorities, and ensure timely access to information for decision-making.Project Support: Assist with strategic initiatives, track deliverables, and monitor progress toward organizational goals.Confidentiality & Judgment: Handle sensitive information with professionalism, discretion, and sound judgment.Relationship Management: Build and sustain positive relationships with internal teams, community partners, and external stakeholders.QualificationsPost-secondary diploma in Political Science, English, Journalism, Communications, Education, or a related field (focus on writing, public relations, or governance is an asset).Minimum 3 years experience supporting senior leaders, ideally within healthcare, non-profit, or the public sector.Strong organizational and time-management skills with the ability to manage multiple priorities.Exceptional written and verbal communication skills.High degree of professionalism, discretion, and confidentiality.Proficiency in Microsoft Office Suite and Google Workspace.Bilingualism (English/French) considered a strong asset.
