Role Summary: The Office Coordinator/ Executive Assistant will play a critical role in enabling the smooth operation of our office and providing strategic support to our leadership team. This individual will be the operational backbone of our growing organization, managing daily office logistics, coordinating key events, and acting as a trusted partner to senior executives. The ideal candidate is resourceful, professional, and thrives in a fast-paced consulting environment. Key Responsibilities: Manage daily operations of the Toronto office, including vendor management, supplies, facilities coordination, and team logistics. Develop and refine administrative processes to improve efficiency and support business growth. Serve as the first point of contact for internal and external stakeholders, exemplifying BrainRidge professionalism and culture. Manage complex executive calendars and schedule meetings, ensuring seamless coordination across priorities. Act as a liaison between the executive team and internal departments, clients, and external partners. Prepare board materials, leadership briefings, presentation decks, and professional correspondence. Coordinate company events, team meetings, and client hospitality with precision and polish. Plan and manage detailed travel logistics for leadership, including itineraries and follow-up tasks. Track office and departmental expenses, process vendor invoices, and assist with budget management in collaboration with Finance. Maintain confidentiality and handle sensitive business and personnel information with discretion. Skills and Qualifications: 3+ years of experience in an executive assistant or office management role; experience in technology, consulting, or financial services is an asset. Post-secondary education in Business Administration or related field preferred; equivalent experience considered. Advanced proficiency with Microsoft 365 and ability to quickly learn new tools and systems. Exceptional written and verbal communication skills, with an ability to adapt across audiences. Highly organized, proactive, and able to anticipate needs in a dynamic environment. Strong problem-solving ability, professionalism, and sound judgment when handling confidential matters.
