About the Role Prima Living is seeking an experienced Payroll Manager to lead the full-cycle payroll operations for multiple unionized and non-unionized entities across Ontario senior residences. This is a critical role that combines technical payroll expertise with strong labour relations experience, ensuring payroll accuracy, compliance with employment legislation, collective agreements, and organizational policies, and timely reporting and remittances. This leader will manage payroll operations, drive process improvements, and collaborate closely with HR, Finance, and Operations to support a workforce that includes unionized healthcare staff, hospitality teams, and corporate employees. The successful candidate will manage full-cycle payroll, mentor and guide a payroll team, and act as the primary resource for payroll-related labour relations inquiries, collaborating closely with HR and operational leadership to support employee relations and payroll compliance. Key Responsibilities: Payroll Operations Oversee and process full-cycle payroll processing for multiple entities across Ontario, including salaried, hourly, and unionized employees. Ensure accurate and timely payroll processing for bi-weekly and other payroll cycles. Manage payroll calculations including overtime, premiums, shift differentials, vacation pay, and statutory holiday pay. Review payroll registers and reconciliations to ensure accuracy prior to final processing. Run payroll reports, reconciliations, and year-end tasks, including GL entries and audit. Union and Workforce Complexity Interpret and administer payroll requirements under collective agreements for unionized employees. Ensure proper application of wage grids, seniority rules, premiums, and negotiated pay adjustments. Support HR and Labour Relations in implementing wage changes resulting from collective bargaining. Compliance & Reporting Ensure compliance with: Employment Standards Act, 2000 Income Tax Act Canada Revenue Agency payroll regulations Pension and benefits remittance requirements Oversee statutory remittances including CPP, EI, income tax, EHT, and WSIB. Lead year-end payroll processes including T4 preparation, reconciliation, and reporting. Systems & Process Leadership Maintain and optimize payroll systems and integrations with HRIS and scheduling platforms. Identify and implement process improvements, automation opportunities, and payroll controls. Support payroll integration during new residence acquisitions or organizational changes. Team Leadership (as applicable) Lead, mentor, and support payroll staff where applicable. Establish clear payroll procedures and internal controls. Ensure strong service delivery to employees and site leadership teams. Collaboration Partner with HR, Finance, and Operations to ensure alignment on compensation programs, staffing models, and labour cost reporting. Provide payroll insights and reporting to support workforce planning and budgeting. Collaborate with HR and operational leaders to resolve payroll issues impacting staffing, overtime, benefits, and seniority Qualifications: 3+ years of payroll management experience, preferably in unionized or senior living environments Experience managing multiple CBAs and payroll for unionized employees Strong working knowledge of Ontario employment, payroll, and labour legislation Ability to work accurately under pressure while managing multiple deadlines Payroll certification (CPM) or in-progress considered an asset Compensation & Benefits: $80,000 $100,000 salary range Comprehensive benefits package Ontario | Some travel to residences required
