In this 12month Office Administrator role, youll ensure our workspace remains organized, functional, and welcoming for employees, clients, and guests alike. Your Impact - Welcome and direct clients and visitors in a warm, professional manner. - Manage incoming calls through the MS Teams platform and coordinate responses to maintenance and security requests. - Maintain, reserve, and support the setup of frontofhouse meeting rooms, including coordinating catering needs. - Oversee visitor badges, office supplies, workstation allocations, lockers and parking directions. - Distribute staff security cards and ensure signed agreements are properly tracked. - Support Facilities with service request management across the office. - Manage mail, courier packages, incoming cheques, invoices and general office deliveries. - Maintain uptodate office floor plans and support Flowscape usage where applicable. - Support frontofhouse amenities including coffee station upkeep and visitor WiFi/connection needs. - Perform administrative tasks as required and assist the Regional Facilities Manager. The Skills That Set You Apart - Over 1 year of experience in reception, office coordination or administrative support. - Strong interpersonal and communication skills with a professional customerservice mindset. - Proactive, courteous, and able to multitask in a dynamic team environment. - Ability to handle sensitive and confidential information appropriately. - Working knowledge of Microsoft Word, Excel, PowerPoint and Outlook. - Willingness to obtain First Aid/CPR and Fire Warden training. - Bilingual proficiency in English and French is an asset.
